Job Summary
Position Overview
We are seeking a highly organized and detail-oriented professional for a Contracts & Procurement Administration role to support IT contracting and procurement operations within a government environment. This position will work closely with the Contract Manager Lead and cross-functional teams to manage the full contract lifecycle ensure compliance and support efficient procurement processes.
Key Responsibilities- Manage end-to-end IT contract lifecycle including initiation execution monitoring and close-out
- Support procurement activities by preparing and managing RFPs RFQs RFBs and RFIs
- Coordinate with internal stakeholders leadership vendors and contractors across departments
- Facilitate procurement processes including:
- Kick-off and pre-proposal meetings
- Document preparation and review
- Approval tracking and workflow coordination
- Legal and purchasing reviews
- Manage vendor interactions including demonstrations Q&A sessions and documentation tracking
- Monitor contract financials such as funding burn rate and expenditures
- Track and manage contract performance renewals compliance and scope changes
- Support dispute resolution and vendor performance issues
- Maintain accurate and organized records of all contract documentation (digital and physical)
- Communicate contract terms processes and updates clearly across all levels of the organization
- Support Contract Office operations:
- Calendar management and scheduling
- Meeting coordination agendas minutes and action items
- Ensure compliance with organizational policies procurement regulations and audit requirements
- Perform additional duties as required
- Minimum 2 years of contract management experience
- Minimum 2 years of IT administrative support experience
- 4 years of experience with Microsoft Office Suite (Excel Word Outlook PowerPoint)
- Basic understanding of IT infrastructure concepts
- Bachelors degree or equivalent experience
- Strong organizational and coordination skills with attention to detail
- Excellent written and verbal communication skills
- Ability to manage multiple priorities and work both independently and within a team
- Experience with IT procurement in government environments (Federal State or Local)
- Knowledge of public sector contracting and compliance processes
- Experience supporting enterprise-level or high-visibility IT programs
- Familiarity with contract or procurement management tools/systems
