Job Description

The Project

The M80 Ring Road Alliance (comprising ACCIONA MACA and AECOM) has been selected to design and construct the M80 Ring Road Completion.

The project will deliver a major upgrade of the M80 Ring Road between the M80-Plenty Road interchange and the North East Link tunnel entrance at Watsonia providing a seamless connection to North East Link. Works includes the construction of 14 kilometres of new lanes bulk earthworks retaining walls bridge structures rail interface works intelligent transport systems urban design and landscaping. This diverse and challenging project will be complete in 2028.

Position Summary
Acciona have in place several systems to capture costs quantity and performance information in real time at the lowest level to enable informed conversations around production productivity geospatial monitoring chain of responsibility compliance sustainability safety procurement management event management cost and revenue forecasting and planning and scheduling.

The Project Systems Administrator will contribute to the achievement of the project by providing administration guidance training and support to effectively capture daily quantity cost and productivity data to improve decision making.

Key accountabilities for the position

  • Maintain open and proactive communications with both subcontractors suppliers and project staff to ensure a highly efficient and accurate capturing of costs for works performed on the project sites.
  • Manage a small portfolio of subcontractors using Linked Site ensuring that processing is completed in a timely manner and ensuring compliance with Security of Payment Act where applicable
  • Highlighting variations to executed contracts with the relevant Contracts Administrator ensuring rates are adjusted accordingly and in a timely manner
  • Support the development and implementation of positive initiatives to enhance the working experience for the Alliance
  • Review the Setup of contracts within LinkedSite Linked Vendor and Linked Site ensuring items and item groups have been set up correctly
  • Provide ongoing guidance to subcontractors for the implementation and use of LinkedSite through the Vendor Portal
  • Daily administration of LinkedSite including mobilisation & demobilisation of staff & JV Staff password resets
  • Daily administration of Linked Vendor including supplier setup rates changes
  • Assist in the production and delivery of Reporting; daily weekly and monthly to provide the business with project cost data accruals and docket status.
  • Assist in providing coaching and support of new project users and team members to ensure no single point of failure in any related system process or workflow.

Required Skills and Competencies

  • Advanced written & verbal communication skills with outstanding attention to detail
  • Construction experience preferred but will consider other industries - 3 years experienece
  • Proficient skills in the following software: MS Excel MS Word email.
  • Ability to learn new technology and software quickly & thrive in a fast moving environment
