About the Role

The Senior Software License and Asset Management Analyst provides authoritative oversight for the operational lifecycle of all IT assets at MRU. This role holds primary accountability for the Institutional Annual Refresh Program strategically managing the hardware rotation for faculty and staff to ensure fiscal efficiency and hardware reliability.

As a subject matter expert in ITIL/ITSM best practices the incumbent drives continuous improvement by architecting automated asset workflows within ServiceNow. Through complex business analysis and requirements gathering the Analyst ensures that departmental and faculty technology needs are met while maintaining strict alignment with inventory availability and contractual compliance. This role serves as a key operational partner to the Strategic Sourcing Specialist translating negotiated contract terms into manageable day-to-day inventory and licensing processes.

Responsibilities

  • Manage the refresh cycle of hardware (desktop/laptop) for faculty and staff.
  • Establish and govern the institutional framework for hardware asset management (HAM) ensuring 100% visibility into the lifecycle deployment instances and compliance status of all enterprise hardware.
  • Coordinate deployment schedules with ITS teams and business units during peak spring/summer semesters.
  • Be responsible for the project budget analyzing hardware volumes and managing lease contract execution.
  • Oversee the overall strategy governance and processes for maintaining records of all hardware technology assets.
  • Conduct deep-dive business analysis to challenge or validate stakeholder requirements or supplier recommendations.
  • Conduct analysis with faculty and departments to gather technical needs and requirements to make purchasing recommendations.
  • Identify opportunities to negotiate license renewals and product bundles source IT equipment in conjunction with procurement units while ensuring financial procedures are followed.
  • Manage the academic software maintenance budget including forecasting and chargebacks.
  • Proactively identify and execute cost-avoidance initiatives by identifying underutilized licenses (shelfware) and consolidating disparate departmental purchases into unified institutional agreements.
  • Establish and govern the institutional framework for software asset management (SAM) ensuring 100% visibility into the lifecycle deployment instances and compliance status of all enterprise software.
  • Lead continuous improvement using ITIL best practices for technology asset management.
  • Work with the ServiceNow product owner and application development team to identify opportunities for automated asset management workflows.
  • Create policies for onboarding/offboarding equipment moves and operational asset procurement for ITS teams.
  • Document and maintain the asset management knowledge base.
  • Train and mentor staff members and departmental super-users to ensure operational consistency and process compliance across the institution.
  • Assist with other team functions including Organizational Change Management (OCM) which involves documenting processes and developing or updating training materials.
  • Act as the primary hardware or software asset vendor contact to ensure Master Service Agreement (MSA) standards are upheld and product availability meets institutional needs.
  • Provide daily problem-solving guidance and serve as the escalation point for technical licensing issues.

Qualifications

  • A minimum two-year Diploma from a University or Equivalent ideally in Information Technology Business Administration Supply Chain Management or Finance.
  • ITSM Expertise: Strong background in ITIL processes and ServiceNow automation.
  • Asset Lifecycle: Deep experience managing the full lifecycle of hardware (refresh programs) and software (licensing renewals and audits).
  • Compliance: Proven ability to ensure software license compliance and manage technical audits.
  • IT Finance: Skilled in budget forecasting TCO/ROI analysis and managing IT chargeback models.
  • Conflict Resolution: Ability to remain calm and decisive as the primary escalation point for technical or licensing disputes.
  • Stakeholder Diplomacy: Skilled at balancing the competing needs of Finance IT and academic departments.
  • Change Management: Proven ability to lead new initiatives mentor staff and document clear standard operating procedures (SOPs).
  • Strategic Analysis: Expert at gathering technical requirements and turning them into practical purchasing plans.
  • Precision: High attention to detail regarding data accuracy inventory management and financial reporting.
  • Experience working within a large public sector or university/college environment.

Salary: $69848.50 - $84575.40per annum
