Facilities is responsible for planning coordinating and executing maintenance repair and capital improvement projects across campus. This role ensures projects are delivered on time within budget and in compliance with University standards while maintaining strong communication with internal stakeholders and external partners.
Responsibilities
Project Management Define project scope by researching and evaluating technologies materials and delivery methods; provide recommendations to Facilities leadership. Develop and manage project plans including schedules budgets and resource allocation for maintenance repair and improvement projects. Prioritize projects to align with operational needs and institutional goals. Assist in the selection and coordination of architects engineers and specialized consultants Serve as the primary point of contact for assigned projects including contractor solicitation bid review and vendor selection; maintain a qualified vendor pool Oversee contractor and vendor performance to ensure compliance with project specifications quality standards and safety regulations including OSHA requirements. Conduct site inspections to monitor progress ensure adherence to plans and verify compliance with applicable codes and University standards. Review and approve project-related invoices and financial documentation in accordance with University procurement policies. Coordinate project activities with affected departments ensuring clear communication regarding timelines impacts and progress. Track project milestones deliverables and schedules; maintain accurate documentation and project records. Prepare and distribute regular project status reports including weekly updates for maintenance projects. Conduct periodic facility assessments to identify deficiencies prioritize repairs and support long-term planning efforts. Manage and monitor recurring service contracts ensuring performance and compliance. Compile and present project data and reports to senior leadership to support strategic decision-making. Continuously improve project management processes tools and best practices. Support Facilities Department Support Facilities technical staff with supplemental services in completion of maintenance tasks and assist Facilities personnel in developing future deferred maintenance/cycle maintenance forecasting. Assist in campus emergency recovery as assigned
Required Qualifications
Minimum of 5 years increasingly responsible experience planning facilities or managing construction/renovation projects with demonstrated knowledge of industry and best practices. Demonstrated ability to handle multiple tasks meet deadlines and work both independently and as a collaborative member of the University; ability to shift and adjust priorities. Ability to read and understand maintenance contracts and proposals. Strong organizational skills and demonstrated ability to plan coordinate and execute maintenance projects in a timely manner. Ability to exercise independent judgment and exercise discretion and judgment on matters of significance. Strong track record in construction and planning. Knowledge of building sustainability. Fundamental knowledge of California Building Codes and OSHA safety regulations. Written communication skills with the ability to prepare clear concise and professional business reports and correspondence. Strong computer skills at an advanced level in the use of word processing spreadsheet database internet and electronic mail preferably of Microsoft Office Suite applications. Technical ability to learn and use enterprise software. Ability to demonstrate tact and diplomacy and maintain confidentiality. Strong analytical skills to evaluate and prepare technical documents and schedules and provides appropriate directions. Leadership skills to elicit cooperation from diverse levels and be persuasive encouraging and motivating.
