BACKGROUND

South Asia Energy Practice Overview

The South Asia Region (SAR) Energy Practice (ISAE1) is part of SAR Infrastructure Group which also includes the SAR Transport unit and is managed by the Infrastructure Regional Director. One out of four people on the planet live in South Asia however only one out of 20 units of the worlds power capacity is installed in the region. South Asia has been enjoying rapid economic growth which is expected to continue strongly after the covid-19 crisis; it is expected to maintain a strongly growing energy demand across countries. While electrification has expanded significantly in the last decade the power sector continues to have reliability and quality issues operational inefficiencies very considerable investment needs and often challenging financial deficits that impact national budgets. The recent health crisis has affected revenues in the sector and slowed down the rate of infrastructure investments.

The SAR energy unit contributes to addressing the above challenges with a strong lending and knowledge management work program and a team of about 38 professional staff. The South Asia Energy Program has grown rapidly in the last few years and has a portfolio of more than US$8 billion with an annual average lending that usually exceeds US$1 billion.
Energy commitments in the region cover reforms (sector and corporate governance energy security and the environment utility performance regional energy exchanges public-private partnerships energy efficiency) and investment support in power generation power and gas transmission and distribution rural energy electrification renewable energy development and low-carbon and climate friendly initiatives. The region is at the forefront of introducing new technologies in energy storage renewable energy and smart grids. Moreover projects involving natural gas are a key part of delivering energy security for the region and could potentially grow further with future investments in Bangladesh India and in other countries.

Duties and Accountabilities

The SAR Energy Unit of the World Bank seeks a Program Assistant to provide administrative and logistical support for on-going and future energy sector operations. The position will be shared with the SAR Urban Unit with the selected candidate also supporting administrative and logistical needs for urban sector activities. This position reports to the SAR Energy Practice Manager and the selected candidate will work in coordination with other task team leaders across the two units.

The responsibilities of the selected candidate will include:

The selected candidate will have the following key responsibilities:
Provide day to day administrative support to the operational teams ensuring smooth office operations.
Coordinate calendars meetings and logistical arrangements including room bookings and visitor support.
Prepare format and review correspondence presentations and basic reports.
Maintain organized records files and documentation in line with institutional standards.
Support the planning and execution of office events workshops meetings and official visits.
Coordinate logistics such as venues vendors materials catering and participant communications.
Assist during events to ensure smooth delivery and timely resolution of issues.
Serve as a point of contact for internal and external stakeholders demonstrating professionalism and clarity in all interactions.
Communicate effectively with colleagues across teams contributing to a collaborative and respectful work environment.
Handle sensitive information with discretion and sound judgment.
Work effectively under pressure managing multiple tasks and shifting priorities.
Proactively identify issues and support solutions to keep activities on track.
Support continuous improvement of administrative processes and workflows.

Selection Criteria

Bachelors degree in business Economics or a related field with 35 years of relevant professional experience in administrative support. Demonstrated experience supporting dynamic teams within multinational companies or global organizations.
Full proficiency in English (spoken and written) required.
Strong communication and interpersonal skills.
Demonstrated ability to work under pressure and manage competing priorities.
Strong teamwork mindset with a service-oriented approach.
Experience supporting events meetings or missions.
Proficiency in Microsoft Office applications (Word Excel PowerPoint Outlook) and familiarity with Microsoft 365 AI capabilities (e.g. Copilot) to support drafting summarization and task management.
Ability to use AI-enabled tools to support document management knowledge capture and efficient information retrieval.
Comfort leveraging digital tools to streamline administrative processes meeting coordination and follow ups.
