Program Overview Program UnitVolunteer & Student Services is a central resource to the entire organization responsible for the recruitment retention engagement and recognition of over 1000 volunteers who contribute more than 20000 hours annually.The Volunteer Admin Assistant provides administrative and operational support to strengthen departmental systems tools and processes. This includes supporting the development of standardized resources maintaining centralized information systems and contributing to monitoring and evaluation efforts that enhance the effectiveness consistency and impact of Volunteer & Student Services across the organization.What You Will Do- Provide administrative support in the development and organization of a shared supervision toolkit including formatting templates compiling resources and maintaining version control to ensure accessibility and consistency across teams.
- Support the implementation of a Monitoring and Evaluation (M&E) framework by assisting with data collection entry and tracking related to key performance indicators (KPIs) such as volunteer recruitment retention engagement and impact.
- Maintain and update tracking tools (e.g. spreadsheets dashboards) to support ongoing monitoring of VSS performance metrics and generate basic reports for internal use.
- Assist in the coordination and development of a centralized SharePoint page including uploading resources organizing folders updating content and ensuring materials (policies tools training resources) are current and accessible.
- Work closely with the Volunteer Services team to ensure documentation templates and resources are consistently applied and properly stored within shared systems.
- Provide administrative and logistical support for training sessions workshops and meetings related to supervision practices and VSS initiatives (e.g. scheduling sending invitations tracking attendance distributing materials and feedback forms).
- Support data management by updating volunteer and student records in the departments database and ensuring accuracy and completeness of information.
- Assist with general administrative coordination across VSS initiatives including document preparation meeting notes and follow-ups on action items.
- Perform other related administrative tasks as required.
What You Bring to the Team- Diploma or Degree in Social Services & Administration or any other related field
- Demonstrated administrative or customer relations skills.
What Will Set You Apart- Proven proficiency in computer skills including MS Office Suite comfortable using online platforms and with conducting internet research Proven proficiency in computer skills with knowledge of MS Office and internet research.
- Strong organizational/planning skills.
- Strong time management skills and ability to communicate clearly with clients from diverse cultural backgrounds.
To be eligible youth must:- Be between 15 and 30 years of age at the beginning of the employment period*;
- Be a Canadian citizen permanent resident or person to whom refugee protection has been conferred under the Immigration and Refugee Protection Act for the duration of the employment**; and
- Have a valid Social Insurance Number at the start of employment and be legally entitled to work in Canada in accordance with relevant provincial or territorial legislation and regulations.
*The youth must be 15 years of age at the beginning of the employment period. The youth may be more than 30 years of age at the end of the employment period as long as the youth was 30 at the beginning of the employment period. **International students are not eligible participants. International students include anyone who is temporarily in Canada for studies and who is not a Canadian citizen permanent resident or person who has been granted refugee status in Canada. Youth awaiting a refugee status ruling as well as those who hold a temporary visitor visa youth visa or work visa are ineligible. As the objective of the CSJ program is to support youth entering the Canadian labour market the temporary nature of an international students time in Canada does not allow for a long-term connection to the labour market.
