Events Specialist

Job Summary
We are looking for energetic proactive and enthusiastic candidates with multitasking skills and attention to detail to take up a full-time position of an Events Specialist in Tallinn.
Full-time employment based in Tallinn
You will:
- Prepare international events (travel will be rare and only in back up cases but a possibility always remains)
- Assist with participants travel/troubleshoot prior and during the meeting
- Communicate with internal and external clients on meeting planning organization conduct and follow-up
- Do the market research with regards to destinations/venues for project meetings
- Assist in development and implementation of procedural documents and tools related to organization and conduct of project meetings
- Assist in preparation of meeting reports and other documentation
- Assist in identification evaluation and contracting of vendors involved in project meetings
- Assist with travel arrangements for the meeting attendees
- Prepare and provide the data related to project meetings expenses
- Assist with reimbursement payments for meeting attendees
- Assist with the the online registration system maintenance and meeting attendees database
- Assist with internal departmental meeting and support departments processes
Qualifications :
- College or University degree
- Experience in hospitality/event industry and/or administrative office work
- Proficiency in MS Office applications
- Full working proficiency in English
- Strong organizational skills attention to detail ability to multitask and work in a dynamic team environment
- High level of responsibility and customer orientation
- Ability and desire to travel abroad upon request
