Job Summary

Our global product organization is evolving into a best-in-class workflow platform that serves as the operational backbone for 500000 users worldwide. Built on advanced Low-Code/No-Code (NCLC) and AI.

To strengthen execution across two global product teams we are looking for a high-potential intern to join us and work directly with the Head of Product & Service/ LoT Lead.

Why This Internship 

This is not a typical admin internship.

It is a hands-on training role designed for a talented candidate who wants to build a career in Project Operations / Leadership Operations/ Executive Assistant and grow into a high-impact professional in the future.

You will learn how a global product organization runs through real work real accountability and real outcomes.

Outstanding interns may be considered for conversion to a full-time Project Operations Assistant role after the program (based on performance and business demand).

Role Summary (Your Impact)

You will help the team keep operations running smoothly by owning the execution cadence: meeting management documentation quality action follow-up milestone tracking and structured stakeholder coordination.

Your scope is flexible and grows with your capability ranging from structured administrative tasks to higher-level operational and communication support. The more you deliver the more value task you will be assigned.

Key Responsibilities

1) Calendar & Meeting Operations (Core)

  • Assist to manage and optimize meeting scheduling for the team: right participants right frequency right purpose.
  • Prepare meeting logistics (Teams links rooms time zones) and ensure meetings are set up for outcomes.
  • Support agenda preparation and send reminders to keep meetings focused and productive.

2) Meeting Documentation: Minutes Decisions & Action Closure

  • Attend key meetings and capture high-quality minutes decisions and action items.
  • Maintain an action tracker with owners and deadlines; follow up proactively until closure.
  • Keep a clear record of decisions risks and next steps (simple and reliable single source of truth).

3) Operational Tracking & Reporting (OKRs / KPIs / Milestones)

  • Track key deliverables milestones OKRs KPIs risks and dependencies across teams.
  • Prepare concise weekly updates for leadership visibility: progress risks blockers next steps.
  • Use Excel-based tracking and basic analysis to spot gaps trends and delays early.

4) Stakeholder Coordination (Cross-Team & Global)

  • Coordinate smoothly with leads/managers across engineering product operations QA and business.
  • Drive clarity: owner deadline expected output and next action.
  • Reduce back-and-forth by helping communication stay structured and action-oriented.

5) Workshops / Events / Training & Travel Support

  • Support planning and logistics for workshops reviews retrospectives and engagement activities.
  • Assist with training/travel coordination and operational tasks when needed.

6) Continuous Improvement (Operations Excellence)

  • Create and improve templates/checklists (agenda template MoM template action tracker weekly update format).
  • Propose small improvements that make operations faster clearer and more reliable.

  • Exposure to project management product/software development environments or Agile rituals.
  • Experience organizing events club operations or leading initiatives at university.
  • Basic reporting/dashboard experience (Excel/Power BI is a plus).
  • Power PI/ Data Analyst tools

Qualifications :

  • Education: 3rd or 4th-year student majoring in Engineering IT Economics Foreign Trade Business or related fields.
  • Can provide the recommendation/introduction letter from the universities or professors to apply internship. 
  • Communication: Upper Intermediate English communication skills (speaking writing listening) and excellent interpersonal skills.
  • Organizational Skills: Strong attention to detail ability to follow up on tasks diligently and data-driven approach to problem-solving.
  • Technical Skills: Must be proficient in Microsoft Office Suite (Word PowerPoint Excel with pivot tables formulas and functions).
  • Initiative and Teamwork: Highly enthusiastic self-motivated proactive and results-oriented with a collaborative mindset.
  • Additional Assets: Prior experience in a project management environment familiarity with Agile methodologies.
