Communications Assistant
Organizational Setting and Work Relationships
The Communications Assistant will report to the Communications Officer and will have regular contacts within the office/unit involving exchange of information. S/he will also have limited external contacts on routine matters.
All UNHCR staff members are accountable to perform their duties as reflected in their job description. Duties
- Collect press-cuttings of articles in national regional international and periodicals that pertain to refugee related issues and to the work of the office.
- Compile and maintain the mailing list for press releases information bulletins etc and ensure timely despatch of information to media and other interested parties.
- Classify and maintain adequate stock of PI materials and promote sale of merchandise where appropriate.
- Maintain up-to-date the catalogue of PI material and types monthly report regarding sales and stocks for submission to PI at Headquarters in accordance with established guidelines.
- Provide clerical assistance with regard to PI events such as poster campaigns exhibitions and public awareness raising events.
- Respond to routine telephone and written enquiries from a variety of sources such as the media the public NGOs and government officials etc.
- Maintain PI files up-to-date.
- Have access to UNHCRs communication systems.
- Support the identification and management of risks and seek to seize opportunities impacting objectives in the area of responsibility. Ensure decision making in risk based in the functional area of work. Raise risks issues and concerns to a supervisor or to relevant functional colleague(s).

Desired Candidate Profile
The candidate needs excellent web editing and copy writing skills in English. The candidate should have knowledge of best practices in web publishing (e.g. SEO AI optimization) familiarity with HTML and basic knowledge of Photoshop InDesign or similar.
The candidate should have experience in the use of photography and understanding of visual narrative and image guidelines including photography ethics. The candidate must have fluency in best practices for UI/UX design including design for mobile and accessibility and a good understanding of AI tools for visual production.
The candidate must be a highly organized able to prioritize think creatively and analytically and have careful attention to details and visual form. They will have strong interpersonal and communication skills with good judgement flexibility and the ability to communicate effectively with stakeholders. They will have excellent project management skills including the ability to manage multiple priorities.

Nature of Position:
The Communications Assistant - Website will be based in Madrid Spain and operate within the Creative Services Section of the Global Communications Service (GCS) which sits in the Division of External Relations (DER).
The Communications Assistant - Website is critical to ensuring high-quality visual impact for UNHCRs global website. The post is supervised by the Web Manager and supports the content publishing on the global UNHCR website.
The role manages the web inbox and liaises with stakeholders on incoming publishing requests. The role provides support on how best to shape content for publication based on guidelines outlined in the web strategy and in line with SEO and generative AI industry standards. The role assists with light editing and copywriting of the provided content. The Assistant publishes content across the UNHCR website including in multiple languages where needed.
The Assistant regularly monitors content for issues including broken links outdated figures or documents publishing errors etc. The Assistant provides support on team projects varying from but not limited to support activity on selected sites online research activities website analytics reporting etc.
