Position Summary
The Retail Purchasing Coordinator is responsible for assisting in the development of resort purchasing strategies maintaining positive relationships with vendors coordinating with internal teams regarding their supply needs and providing proper inventory control strategies.
Essential Duties and Responsibilities
- Develop improve implement and maintain written procedures and purchasing strategies.
- Demonstrate knowledge of warehouse receiving and inventory control flow and practices.
- Knowledge of basic accounting practices.
- Review requisitions and confer with vendors to obtain product or service information such as price availability and delivery schedules.
- Prepare purchase orders change orders or bid requests.
- Responsible for the receiving and shipping of goods.
- Receive tag and display stock and special-order merchandise.
- Review and analyze reports to maintain proper inventory levels.
- Review purchase order claims for conformance to company policy.
- Maintain procurement records such as pricing delivery product quality or performance and inventories within procurement software.
- Facilitate and operate monthly outlet inventories with assistance from professional staff.
- Discusses unacceptable goods or services with managers users vendors and others to determine source of trouble and take corrective action.
- Verify the accuracy of weights products missing items and amounts compared with the original order and the amounts stated on the invoice. Follow appropriate processes to correct errors.
- The Retail Purchasing Coordinator is authorized to order sample products from existing or new vendors at no cost. Log store or distribute unsolicited samples from vendors and notify appropriate staff of their arrival and location.
- Create new product records and maintain existing records in the procurement software database.
- Perform audits and maintenance of procurement records in the software.
- Prioritize and organize work assignments.
- Train and develop team members as needed.
- Conduct performance evaluations.
- Enforce resort standards policies and procedures as necessary.
- Provide exceptional professional customer service to both internal and external customers.
- Perform other duties as assigned.
Qualifications
- Degree or equivalent experience in warehouse management inventory control and purchasing.
- Shipping and receiving experience preferred.
- 1 year of inventory and purchasing experience preferably in food & beverage or the golf/hospitality industry.
- Knowledge of purchasing policies quality control and basic accounting.
- Strong multi-tasking problem-solving and communication skills.
- Ability to work under pressure with minimal supervision and meet deadlines.
- Flexibility to work nights and weekends as needed.
- Positive attitude professional demeanor and appearance.
- Proficient in Microsoft Office (Word Excel) and inventory/purchasing software.
- Ability to read and interpret documents memos and manuals.
Physical Requirements
Must have the ability to:
- Stand sit walk push pull lift grasp bend and kneel for up to 5 hours at a time.
- Walk up and down stairs step ladders and ladders up to 2 hours a day.
- Lift up to 50 lbs frequently 20 lbs regularly.
Working Conditions
Work hours may include days evenings weekdays and weekends. A majority of the shift will be spent working at a computer in a seated position. The position may involve exposure to both indoor and outdoor environmental conditions.
Machine/Equipment/Tools Used
Office machines such as personal computers printers copiers fax machines calculators telephones and scanners. Ladders pallet jacks stackers and/or hand carts may also be used.
