Job Title: Medicaid Clerk
Department: Special Education
Reports To: Special Education Director or Designee
Job Summary
The Medicaid Clerk is responsible for coordinating and managing all aspects of school-based Medicaid billing documentation and compliance. This position ensures accurate submission of claims maintains records of services provided and serves as a liaison between the district and related service providers to support efficient service delivery and reimbursement processes.
Essential Duties and Responsibilities
- Process and submit Medicaid billing claims for eligible special education services in a timely and accurate manner
- Maintain detailed and organized records of services provided to ensure compliance with state and federal Medicaid requirements
- Track and monitor services provided by related service providers (e.g. speech therapists occupational therapists physical therapists etc.)
- Communicate regularly with related service providers to verify service logs documentation and service delivery schedules
- Review and reconcile invoices related to Medicaid services and ensure proper documentation is on file
- Assist in maintaining provider credentials service logs and required documentation for Medicaid compliance
- Monitor and follow up on denied or rejected claims and resolve discrepancies
- Generate reports related to Medicaid billing service delivery and reimbursement as requested
- Collaborate with district staff to ensure accurate student information and eligibility status
- Support audits by organizing and providing required documentation
- Maintain confidentiality of student records in accordance with FERPA and HIPAA guidelines
- Perform other duties as assigned by the Special Education Director or designee
Qualifications
- High school diploma or equivalent required; associates degree or higher preferred
- Experience with Medicaid billing medical billing or school-based Medicaid programs preferred
- Knowledge of special education processes and related services preferred
- Strong organizational skills and attention to detail
- Proficiency in data entry spreadsheets and office software (e.g. Google Workspace or Microsoft Office)
- Ability to manage multiple tasks and meet deadlines
- Strong communication and interpersonal skills
Physical Demands
- Prolonged periods of sitting and working on a computer
- Occasional lifting of files or office materials
