Be Smoke Free is a specialist nurse-led tobacco addiction service run by Change Grow Live in partnership with Manchester Health Care Commissioning Service and Manchester City Council. We have an exciting opportunity for a Receptionist and Administrator to join our team. Youll work closely alongside our team to support our new and existing service users by acting as first point of call engaging with clients answering phone calls and managing any queries and other administrative duties. Were looking for someone with great communication and Microsoft Office skills to help us provide a friendly enthusiastic and welcoming service.

Hours: Full time 37.5 hours per week
Contract Type: Fixed Term Contract of 12 months (12 months from start-date of employment)
* Full-time hours at Change Grow Live are 37.5 hours per week. For part-time roles the salary and payments will be pro rata based on contracted hours.
Salary is subject to review in line with the 2025/26 pay award.
Responsibilities
At Change Grow Live we strive to ensure our services are warm and welcoming environments. Your role as receptionist is to be the first point of contact within the service greeting all our visitors promptly in a friendly and courteous manner. Duties for the post include dealing with initial queries coordinating appointments sign-posting to support available within the service and the community.
About the role:
As first point of contact ensure service users and other visitors receive a friendly and efficient service and that all visits are dealt with promptly and courteously.
Contribute to the improvement and upkeep of client areas ensuring that the reception area is welcoming and tidy.
Contribute to maintaining the client information displayed in the reception area is tidy current and relevant.
Encourage service user feedback and the use of the suggestion box to all clients accessing the service.
Provide basic advice and information on the service offer.
Contribute to managing an effective appointment system liaising with keyworkers.
Check appointments on the CGL information system and book future appointment for service users
Take messages for staff and update case management contacts where appropriate
Support the team in managing/booking appointments via the electronic diary system
Maintain accurate records of all contacts on our case management systems
In carrying out the above duties the post holder will:

To perform your role to the best of your ability.
To follow the Change Grow Lives procedures and standards including health and safety and equal opportunities in relation to our staff volunteers and clients.
To maintain the confidential information of Change Grow Live and of our clients; adhering to Change Grow Lives policies and procedures
To meet the time commitments and standards which have been mutually agreed and to give reasonable notice so other arrangements can be made when this is not possible.
About you:
Knowledge of general office procedures
IT literacy including proficiency in word processing excel spreadsheets and other MS applications
Good interpersonal skills and a willingness to work flexibly as part of a team
The ability to respond to appropriate requests for assistance maintaining confidentiality whenever necessary
Confident and effective communication skills both verbally and in writing and solid numeric skills
Excellent organisational and time management skills
Able to take responsibility for your own personal development identifying personal training needs and participating in regular supervision and appraisal
Minute taking experience would be an advantage
What we will give to you:
25 days of annual leave plus bank holidays. Additionally youll receive one extra day of annual leave for each year of service during your first five years therefore you will enjoy 30 days of leave after five years with us.
