Job Summary

Role Overview
This position supports the Director at a strategic and operational level ensuring priorities are well-managed and business activities run efficiently. This Job role requires a candidate who can manage schedules handle communication prioritize confidentiality and keep things running smoothly behind the scenes. You will be a key point of coordination helping leadership stay focused and effective.

Key Responsibilities
  • Strategic management of the Directors calendar meetings and appointments.
  • Project Management and timely tracking to ensure deadlines are met.
  • Logistics & Travel Coordination.
  • Expense Management & Reporting including handling invoices and travel reimbursements.
  • Prepare reports presentations and meeting materials.
  • Liaise with internal teams and external partners.
  • Handle emails calls and internal communication on behalf of the Director.
  • Maintain confidential records and liaise with internal teams and clients.


Requirements

  • Proven experience as an executive assistant or in a similar administrative role with a background in technical support being highly desirable.

  • Proficiency in technical skills including knowledge of IT systems and software.

  • Exceptional organizational and time-management skills with the ability to multitask and prioritize tasks effectively.

  • Strong communication skills both written and verbal with the ability to interact effectively with diverse teams and stakeholders.

  • High level of confidentiality and discretion when dealing with sensitive information.

  • Good written and verbal communication.

  • Ability to exercise diplomacy discretion and maintain confidentiality.

  • Demonstrated ability to achieve high performance goals and meet deadlines in a fast-paced environment.

  • Forward looking thinker who actively seeks opportunities and proposes solutions.

Required Skills:

Requirements 3 years of experience in project coordination project management or similar execution-focused roles. Familiarity with Scrum Agile or structured project management methodologies. Strong organizational skills with the ability to manage multiple work-streams simultaneously. Proven ability to drive accountability and follow-through even without direct authority. Experience documenting processes workflows or SOPs. Comfortable working with tools and collaborating with technical teams. Strong communication skills with the ability to keep teams aligned and informed.
