The Licensing Specialist plays a key role in delivering consistent high-quality service to licensees while supporting the integrity and execution of licensing operationsWHAT YOULL DO / KEY RESPONSIBILITIESReceive qualify and process inbound licensing requests related to Sync licensing and other Reproduction Rights (RR) ensuring accurate handling of licensing requestsRespond to incoming inquiries (phone email and other channels) within established timelines providing clear professional and timely communicationSet up and manage licensing cases and products within internal systems to track requests from intake through executionPrepare generate and amend Sync licensing agreements ensuring accuracy of terms rights and documentationCoordinate with rights holders (as required) to support proper handling and execution of licensing requestsAdministrate licenses in accordance with applicable agreements and internal guidelinesMaintain accurate and organized records of all licensing activity including agreements communications and repertoire-related informationUtilize CRM and internal systems to document licensing activity track request status and ensure data accuracyProvide guidance and support to licensees regarding licensing requirements including Reproduction Rights (RR) obligations and general Canadian copyright considerationsCommunicate effectively with licensees rights holders and internal stakeholders to ensure smooth and efficient processing of requestsMonitor and follow up on open or pending requests to ensure timely completion and adherence to service standardsCollaborate with internal teams including Legal Finance Royalty Operations Royalty Collections and Licensing Operations to support accurate execution and reportingIdentify and escalate issues or process gaps contributing to improvements in workflows documentation and service deliveryComplete assigned tasks and other duties as requiredWHAT YOU WILL BRING2 years experience in Sync Licensing (preferred)Understanding of Reproduction Rights (RR) Sync licensing and the publishing industryKnowledge of the bicultural Canadian marketBilingual in French and EnglishExceptional customer service skills with a strong service-oriented mindsetExcellent organizational and time management skillsStrong communication and interpersonal skillsProfessional telephone etiquette and communication presenceProven ability to identify issues and apply effective problem-solving approachesSelf-starter with the ability to work independently and take initiativeCollaborative team player with the ability to work cross-functionallyDetail-oriented with strong accuracy in documentation and data managementProficiency in Microsoft Office applications (Word Excel) and CRM/database systemsACCESSIBILITY & ACCOMMODATIONSOCAN is committed to providing an inclusive workplace environment that meets the accessibility needs of employees with disabilities.
