Facilities Management & Coordination

  • Coordinateenergy and environment across a mix of owned properties and leased premises withinthe JAPANdesignated portfolio

  • Ensure difficulties on site are resolved promptly with minimum disruption to business-as-usual activities

  • AssistEnergy and EnvironmentManagers with programsandassessments tomaintainbuilding procedures and performance measures

Vendor & Contract Management

  • Support liaisonwithlandlordscontractorsandinternalteams to ensureenergy and environmentarrangementsand requirementsare facilitated

  • Manage and implementenergy and environmentProgram and ensure compliance

  • Assistin vendor selection procurement of services and management of contractors to ensure they perform to required standards

  • Conduct inspections of vendors works to verify quality and compliance

Work Order & Service Delivery Management

  • Review and resolvereportingrequirementsin line with set KPIs

  • Provide processing support and escalate technical requirements toRegional Energy and EnvironmentLeadas

  • Management and monitoring ofenergy and environmentproject works as relevant through internal teams(e.g.Enviziand Cority)

Financial & Administrative Support

  • Verify invoicing against contracted rates and confirm receipt ofaccurateinvoices forenergy and environment relatedservices

  • Assistin financial processes to ensure allfinancial managementrequirements are completed ina timelyandaccuratemanner

  • Assistin monthly reporting and business reviews

Client & Stakeholder Partnership

  • Deliver excellent customer service to meet and exceed stakeholder expectations

  • Build and develop effective relationships with internal teams and external property management teams

  • Serve as the key point of contact forHSE Energy and Environment within Japan

  • Liaise between office staff and facilities management for service requests

Health Safety & Compliance

  • Ensure compliance with all OH&S Environment and Risk Management Policies and Procedures

  • Follow established escalation procedures and incident reporting procedures

  • Report all incidents within specifiedtimeframes

  • Carry out report and recordregularinspections and ensureaccurateremediation of defects or non-compliances

  • Conduct regular audits to ensure safety procedures are in place and working

  • Where applicable induct vendors to site-specific situations andmaintainrecords

Property Database & Systems Management

  • Develop a strong understanding of various property management database systems

  • Complete update andmaintainapplicable web-based management information systems including uploading property documentation

  • Ability to deal with a variety of issues concurrently within tight operational deadlines

  • Knowledge or exposure to building/facilities management would beadvantageousalthoughnot essential

  • Highly organised with verbal and written communication skills

  • Efficient keyboard and data entry skills

  • Proficiencywith Microsoft Word PowerPoint ExcelOutlookand Internet research skills

  • Ability to work with minimal supervision and grasp new concepts

  • Excellent client service and communication skills

  • Excellent stakeholder management skills-possessesstrong verbal & written communication skills also an active listener

  • Bilingual Communication- basic-levelproficiencyin both Japanese and English for effective collaboration with regulatory bodies clients and global teams.

  • Experience in facilities property managementhospitalityor related fieldpreferable

  • Self-motivated & confident

  • Flexible able to adapt to rapidly changing situations

  • Is a team player able to cooperate and work well with others to meet targets

  • Exhibits honesty & trustworthiness

  • Open tonew ideas& willing to challenge status quo
