Job Details

The Senior Manager Fleet Administration is responsible for the strategic oversight operational efficiency compliance and cost management of the organizations vehicle and equipment fleet globally. This role leads fleet administration functions develops long-term fleet strategies ensures regulatory compliance and partners with internal stakeholders to optimize fleet performance safety and lifecycle costs. The position combines leadership analytics vendor management and policy development to support business objectives. This role operates under a fixed reimbursement and mileage-only model in North America and with Fleet Providers in EMEA.

Key Responsibilities

Strategic Fleet Management:

  • Develop and execute the organizations fleet strategy aligned with operational financial and sustainability goals.

  • Oversee all aspects of our Global car fleet management. Oversee outsourced supplier and third parties

  • Identify continuous process improvements develop recommendations influence the business units accordingly and may participate in the implementation of such initiatives.

  • Identify obstacles to business process; develop and present recommended solutions in conjunction with the management.

  • Monitor business through the analysis of key reports and actual customer results against contracts; proactively advises customer support and sales management on a routine basis of the results and out of compliance concerns and highlights trends and activities.

  • Proactively manage contract compliance including actions for customers out of compliance. Responsible for achieving contract compliance metrics.

  • Produce and distribute fleet optimization material and ensure the materials are updated routinely.

  • Advise sales and management of contractual rights and obligations per contract. Facilitates the resolution of issues.

  • Maintain and update SFDC and/or equivalent tools related to sales processes.

Operations & Administration:

  • Lead the process in formulating policies and procedures related to fleet optimization.

  • Manage fleet systems and technologies including telematics GPS tracking fuel management and maintenance platforms.

  • Mileage reimbursement covers fuel maintenance insurance depreciation and other vehicle-related operating costs as defined by IRS guidelines.

  • Monitor business through the analysis of key reports and actual customer results against contracts; proactively advises customer support and sales management on a routine basis of the results and out of compliance concerns and highlights trends and activities.

  • Produce and distribute fleet optimization material and ensure the materials are updated routinely.

Financial & Cost Control:

  • Ensure that a fleet of vehicles is operating in accordance with legislation and regulations across EMEA region.

  • Develop and manage fleet budgets forecasts and cost-control initiatives.

  • Assist with negotiating contracts with vendors

Compliance Safety & Risk Management:

  • Ensure that a fleet of vehicles is operating in accordance with global and local legislation and regulations Proactively manage contract compliance including actions for customers out of compliance. Responsible for achieving contract compliance metrics.

  • Oversee fleet safety programs driver qualification processes and accident management.

  • Review incidents claims expenses and insurance matters; implement corrective and preventive actions.

Leadership & Stakeholder Collaboration:

  • Proactively manages communications and follow-up with the sales team and all required stakeholders.

  • Partner with operations sales leadership procurement finance HR and legal teams to support business needs.

  • Prepare and present reports dashboards and recommendations to senior leadership.

QUALIFICATIONS:

  • Bachelors degree in Business Administration Logistics Supply Chain Transportation Management or a related field (Masters degree preferred)

  • 812 years of progressive experience in fleet management transportation or logistics.

  • 4 years management role.

  • Proven experience managing large multi-site or multi-vehicle fleets.

  • Experience working with Motus or other Vehicle Management vendors.

  • Preferred Certifications:

  • Certified Automotive Fleet Manager (CAFM)

  • Certified Transportation Professional (CTP)

  • Project Management Professional (PMP)

Skills & Competencies

  • Strong leadership and people-management skills.

  • Advanced analytical and financial management capabilities.

  • In-depth knowledge of fleet compliance safety and regulatory requirements.

  • Excellent negotiation vendor management and contract management skills.

  • Proficiency with fleet management systems telematics and data analytics tools.

  • Strong communication and presentation skills.

Pay Transparency:

The base pay actually offered to the successful candidate will take into account without limitation the candidates location education job-knowledge skills and experience in prior relevant roles. Incentives may also be provided as part of Haemonetics employee compensation. For sales roles employees will be eligible for sales incentive (i.e. commission) under the applicable plan terms. For non-sales roles employees will be eligible for a discretionary annual bonus the target amount of which varies based on the applicable role to be governed by the applicable plan terms. Employees may also be eligible to participate in the Companys long-term incentive plan with eligibility and target amount dependent on the role.
