Job Summary
Position SummaryUnder general supervision performs administrative functions to support smooth and efficient practice operations. Responsible for coordinating tasks related to patient visits including scheduling check-in and check-out activities. Specific duties may vary by department.
Essential Functions
Perform routine administrative and clerical duties in support of a clinical service or physician practice office.
Schedule patient appointments and maintain accurate appointment records.
Greet and assist patients in a professional and courteous manner.
Answer telephone calls respond to routine inquiries and schedule appointments.
File materials in patient folders and print daily appointment schedules.
Process patient billing forms and scan documents into the patients electronic medical record in EPIC.
Obtain patient medical records and laboratory test results as needed.
Open sort and distribute incoming mail and faxes.
Prepare and type forms records schedules and memos as directed.
Collect patient co-payments when required.
Handle screen and/or take messages related to prior authorizations provider questions prescription refills and test results.
Serve as an EPIC Super User for scheduling registration and billing systems (training provided).
Provide assistance and training to staff in EPIC-related processes.
Perform more complex or specialized tasks as needed such as surgical scheduling or provider schedule management at an advanced competency level.
Compensation
Pay range is dependent on experience starting at $20.00 per hour with increases based on the candidates specific years of relevant experience.

Education
High School Diploma or equivalent required
Licenses/Certifications
Certified Medical Administrative Assistant (CMAA) preferred
Experience
Minimum of 23 years of office or administrative experience required preferably in a healthcare or medical office setting
Knowledge Skills and Abilities
Proficiency in Microsoft Office Suite and general computer applications
Knowledge of standard office operations and administrative procedures including filing copying scanning printing and faxing
Ability to operate a multi-line phone system manage non-routine calls and appropriately resolve routine issues
Strong written and verbal communication skills with the ability to communicate effectively with patients staff and leadership
Ability to read and understand written documents and correspondence including emails memos and letters and to take accurate and complete messages
Strong organizational and time management skills with the ability to manage multiple priorities follow established protocols and work efficiently within systems
