EU Labeling & Product Notification Submission Specialist

Job Summary:
The EU Labeling & Product Notification Submission Specialist will be responsible for the end-to-end management of product labeling compliance and regulatory notification submissions across EU member states. This highly detail-oriented role ensures that all products are accurately labeled and properly registered prior to market entry.
Key Responsibilities:
- Conduct thorough label reviews across all product categories to ensure full compliance with EU labeling requirements (ingredients allergens nutrition declarations claims country of origin etc.)
- Manage product notification submissions to EU member states across relevant portals and systems (e.g. CPNP for cosmetics EFSA novel food notifications national food supplement notification portals)
- Work on improving internal tools and optimize notification efficiency for existing and new products/ suppliers
- Maintain and manage an organized internal database of label versions submission records and approval statuses by market and product
- Collaborate closely with the EU Compliance Specialist and Sustainability Specialist to align labeling with regulatory and sustainability requirements
- Liaise with marketing design and product development teams to communicate labeling requirements early in the product lifecycle
- Ensure all product documentation (COAs safety assessments GMP records) is accurately filed and associated with the correct product notifications
- Support fulfillment center compliance by ensuring traceability documentation and labeling are aligned
- Track regulatory deadlines and renewal requirements for product notifications across all active EU member states
- Monitor evolving EU labeling legislation and update internal templates and SOPs accordingly
Qualifications:
- 35 years of experience in EU product labeling and regulatory submissions
- Hands-on experience with EU notification portals (e.g. CPNP eProcedure national supplement portals)
- Strong attention to detail and ability to manage a high volume of products and submissions simultaneously
- Familiarity with EU labeling regulations including Regulation (EU) 1169/2011 EC No 1223/2009 and relevant supplement and novel food frameworks
- Proficiency in document management systems and compliance tracking tools
- Excellent organizational and communication skills; English fluency required additional EU language(s) a strong asset
Equipment Knowledge:
- Experience with Microsoft Office Suite (Word Excel PowerPoint)
- Experience with Google Business Suite (Gmail Drive Docs Sheets Forms) preferred
Education Requirements:
Bachelors degree in Regulatory Affairs Life Sciences Food Technology or a related field
