About This Role:
The Medical Safety & Clinical Oversight Project Coordinator is the organizational backbone for our Medical Directors and Clinical Oversight this role you will orchestrate meetings track deliverables and accountability and ensure seamless integration of medical leadership into our service model. Youll manage Medical Directors engagements capture key decisions and action items and follow through to ensure commitments are met. Your work will directly support leadership visibility and operational success.
When bandwidth allows youll also assist with coordinating account meetings with the medical team helping connect the dots between Medical Directors and client-facing teams.
What You Will Be Doing
Meeting & Activity Coordination
Own the calendar: Organize and manage meetings for all Medical Directors and related stakeholders across multiple time zones.
Capture what matters: Take clear actionable notes and meeting minutes; identify and document decisions and next steps.
Drive accountability: Track action items deliverables and timelines; follow up with IDTF leaders and Medical Directors to ensure progress and integration milestones are met.
Summarize for impact: Compile concise summaries and dashboards for leadership review highlighting progress risks and key updates.
Cross-Team Collaboration
Communicate directly with internal stakeholders and when needed external accounts to arrange calls and coordinate activities.
Support coordination of clinical review requests ensuring alignment with Medical Directors and operational teams.
Operational Excellence
Maintain organized records in Microsoft tools to ensure information is accurate accessible and up to date.
Identify process gaps and propose improvements to enhance efficiency and clarity across workflows.

What We Want to See
Bachelors degree preferred (or equivalent experience).
At least 6 years in project coordination or executive administrative support
At least 2 years of project or administrative experience in administrative healthcare or in a medical device/medical services organization
Proven ability in organizational and stakeholder management skills
Demonstrable proficiency in Microsoft Office Suite (Outlook Teams Excel SharePoint)
Ways To Stand Out
Familiarity with project tracking tools and AI tools (CoPilot) is strongly preferred
Exceptional organizational and time-management skills; ability to juggle multiple priorities across global teams.
Strong written and verbal communication skills for clear documentation and stakeholder engagement.
Comfortable working independently and proactively driving accountability in a fast-paced environment.

Estimated Pay Range
