Opportunity:

WEM is seeking a highly organised and proactive Personal Assistant to support our three General Managers withintheConstruction division and their is a pivotal roleprovidinghigh-level administrative and coordination support centraltodaily operations-managing priorities coordinating workflows and ensuringeffectivecommunication across the business enabling our leaders to focus on delivering high-quality project outcomes.

Key Responsibilities:

  • Provide high-level administrative and coordination support to three General Managers within the Construction division ensuring smooth day-to-day operations and alignment to key priorities

  • Manage complex calendars inboxes and confidential communications with discretion and efficiency

  • Organise internal and external meetings including agendaslogistics and preparation of briefing materials

  • Prepare and edit correspondence reports presentations and key business documents

  • Support client engagement throughtimelycommunication follow-ups and coordination of key touchpoints

  • Coordinate team processes including quarterly check-ins KPI reviews and onboarding activities

  • Attend construction meetings and capture clear actionable minutes

  • Support reporting special projects and general administrative tasks asrequired

  • Assistwith expenses budgets and leave management

  • Coordinate travel site visits and teamlogistics

  • Build strong relationships across teams and work closely with the Administration team to share knowledge and drive effective outcomes

We Are LookingforSomeone Who Has:

  • Demonstrated experience in a Personal Assistant or similar role supporting senior leaders with a strongtrack recordin managing complex schedules communications and administrative functions; experience within construction isadvantageous.

  • Exceptional organisational skillswith a proven ability to prioritise tasks manage multiple deadlines and adapt quickly in a fast-paced evolving environment.

  • Advancedproficiencyin Microsoft Office Suite(Outlook Word Excel PowerPoint)andfamiliarity with digital collaboration tools such as SharePointandTeams.

  • Outstanding written and verbal communication skillswith the ability to draft professional correspondence reports and presentations and communicate effectively with internal and external stakeholders.

  • Strong interpersonal skillswith the ability toestablishand maintain trusted working relationships across all levels of the business and with external partners.

  • Excellent time management and forward planning abilitieswith a proactive and solution-oriented mindset toanticipateneeds and address challenges before they arise.

  • Skilled in the preparation of high-quality business reportingand presentationsensuring information isaccurate clear and visually engaging.

  • High levelof discretion and sound judgmentconsistentlymaintainingconfidentiality and professionalism when handling sensitive information.

  • Thrives under pressurewith the ability to deliver high-quality work within tighttimeframesand shifting priorities.

  • Confident working in close partnership withsenior leadershipdemonstratinginitiative resilience and strong stakeholder engagement across diverse audiences.
