Undergraduate Programme Administrator

Dental Studies - Grade V

(Part-Time Temporary Specified Purpose Contract 8 Months)


The Dublin Dental University Hospital is the major dental teaching hospital in Ireland undertaking the training of postgraduate and undergraduate dental students student dental nurses dental technicians and dental hygienists. We are currently seeking to recruit an Undergraduate Programme Administrator who will be responsible for the administration planning development and enhancement of the processes for the Undergraduate Dental Science Programme. This will be 8 months Part-Time Temporary Specified Purpose Contract with the possibility of extension.


The successful candidate will proactively participate in the Dental Studies Team. They will work closely with the Director of Undergraduate Teaching and Learning to deliver work at the highest standard meeting all deadlines. They will be expected to liaise with staff in other Divisions internal and external to the DDUH which is a central feature of this role. The role will also involve collating course material on Blackboard ultra when required.


Outline of Duties and Responsibilities

The role of the Undergraduate Programme Administrator includes but is not limited to:

  • Key Administration providing support for the undergraduate dental science programme.

  • Devising and coordinating the viva and dissertation schedules for final year examinations.

  • Preparing and producing all examination papers to a high standard on a timely basis.

  • Inputting results and preparing examination spread sheets for final approval by the Programme Directors and Director of Undergraduate Teaching and Learning in advance of Courts of Examiners.

  • Collecting and collating feedback for the dental science undergraduate programme

  • Managing and collating student material on Blackboard ultra.

  • Preparing course handbooks for the programme according to the guidance of the Director of Undergraduate Teaching and Learning.

  • Providing back up support to the other members of the Dental Studies Team when required.

  • To ensure lecturers/ speakers organisational arrangements are in place.

The person chosen will be required to maintain enhance and develop their knowledge skills and aptitudes necessary to respond to changing situations. Qualifications Experience and Person Specification

  • The applicant should hold a comparable and relevant third level qualification of at least level 6 on the National Qualifications Framework maintained by Qualifications and Quality Ireland (QQI).

  • Must have significant proven two to three years experience in a similar educational role/environment at the level of Grade V.

  • Have the ability to problem solve.

  • Have excellent organisational and administration skills with an ability to prioritise and manage a number of deadlines simultaneously.

  • Have excellent attention to detail.

  • Be self- motivated and highly organised.

  • Have the ability to work independently and also as part of a team.

  • Be accountable diligent and reliable.

  • Have the ability to identify problems and formulate solutions.

  • Have excellent interpersonal and communication skills.

  • Be flexible and adaptable.

  • Have excellent time management skills.

  • Be proficient in Microsoft Office in particular Microsoft Word Excel and Outlook and IT systems and/or blackboard ultra.
