ABOUT US: Alberta Animal Rescue Crew Society (AARCS)is a registered non-profit charity located in Calgary Alberta helping over 6000 animals each year. Our mission is to rescue and rehome animals in need and provide community support programs that help people and their pets.
THE ROLE: As a Data Administrator youll be at the heart of how AARCS connects with its amazing community of donors. Every donation tells a story and youll help make sure those stories are tracked acknowledged and celebrated the right way.
Along with your team youll be keeping our donor database (Raisers Edge) clean accurate and up-to-date processing donations answering donor questions and helping ensure tax receipts and records are handled smoothly and on time.
But its not just data entry. Youll also collaborate with our Resource Development team contributing ideas to support fundraising campaigns and helping out with digital and technical projects. If you like mixing detail-oriented work with creativity and teamwork youll feel right at home.

Salary Range:$17.00 - $20.00 per hour based on experience and qualifications.

POSITION REQUIREMENTS:
Be between the ages of 15 and 30 years old.
Genuine interest in animal welfare.
Highly detail-oriented bringing forth a critical degree of accuracy regarding data entry and analysis.
Exceptional customer service skills.
Strong analytical skills and an understanding of accounting principles.
Querying and reporting as well as data entry and gift acknowledgement.
Willingness to learn CRM systems and processes is a requirement.
A quick thinker and efficient self-starter who takes initiative; has the ability to set priorities and manage workloads with minimal supervision.
The ability to effectively communicate information in written and verbal format.
Non-profit experience and a solid understanding of donor management systems including Raisers Edge is considered an asset.
PRINCIPLE ACCOUNTABILITIES:
Responsible for day-to-day donor database management including processing donations processing constituents and running required daily reports (Daily Donations Weekly Donations Daily Declined Transactions and Tribute/Memorial Donations).
Managing donor inquiries including reissuing tax receipts to donors updating credit card and address information.
Providing positive donor experiences through prompt and friendly customer service.
Responsible for donor database maintenance including running maintenance queries merging duplicate records updating contact information updating mailer list subscriptions and updating mailing addresses to standards set by Canada Post.
Run statistical analysis queries and reports in Raisers Edge as needed.
Maintain and follow up with donors who sign up for the Legacy and Forever After Pet Program.
Administer the Third Party Fundraising lottery and auction platforms so that records are properly imported into the donor management system.
Create and maintain Fund Campaign and Appeal categories in the donor management system.
Assist in entering all non-integrated gifts into the donor management system.
Set up events and donation forms in Raisers Edge and the website for fundraising initiatives.
Maintain the monthly donor database to ensure new donors are thanked monthly gifts are acknowledged when received failed transactions are followed up on and credit card information is updated promptly.
Assist donors with access and use of the Donor Portal tool.
Issue consolidated annual tax receipts to all monthly donors.
Prepare and audit mailing lists for mail-outs.
Administer user access and facilitate training for staff using Raisers Edge.
Assist with donor recognition efforts including writing thank-you emails and cards.
Improve processes and find innovative solutions for the donor management system as new enhancements are released in the system.
Assist in overall fundraising efforts by providing creative input ideas and concepts.
Other tasks as assigned.
EDUCATION/TRAINING:
Previous work experience in same or similar role is considered an asset
Previous experience in animal welfare/shelter environmentis considered an asset
Working Conditions:
Office environment within a busy animal shelter with a moderate to loud noise level.
May involve exposure to dangerous or diseased animals.
Ability to sit/type for extended periods of time.
