Office Manager (Confidential Investment Firm)
Location: New York NY (Midtown Manhattan 4 days onsite)
Compensation: $180000 $% Bonus
Employment Type: Full-Time Direct Hire
About the Opportunity
We are partnering with a highly respected $3B AUM investment firm known for its disciplined institutional approach and lean high-performing team. This is a high-impact visible role where you will serve as the operational backbone of the New York office while supporting senior leadership at the highest level.
This is not a traditional office rolethis is a trusted partner position for someone who thrives in fast-paced financial environments and takes pride in delivering a seamless polished workplace experience.
What Youll Do
- Oversee day-to-day office operations ensuring an efficient professional and high-performing environment
- Manage vendor relationships including building management IT and facilities
- Coordinate office logistics: space planning supplies equipment and maintenance
- Provide high-touch executive support to senior leadership (complex calendars meetings travel coordination)
- Lead planning and execution of internal events and select client-facing functions
- Oversee new hire onboarding logistics in partnership with HR and IT
- Manage office budgets invoices and expense reporting with precision
- Serve as the primary liaison with external service providers
- Develop and refine office policies procedures and best practices
- Ensure compliance with firm standards and NYC workplace expectations
What You Bring
- 8 years of office management experience REQUIRED within:
- Hedge fund
- Private equity
- Investment banking
- Real estate investment / financial services
- Proven experience supporting C-level executives or senior investment professionals
- Strong background managing vendors budgets and office operations in NYC
- Exceptional organization discretion and attention to detail
- Ability to thrive in a high-expectation fast-paced environment
- Proficiency in:
- Microsoft Office Suite
- Concur
- Zoom / Microsoft Teams
- Experience with executive travel expense management and event coordination
- Proactive solutions-oriented mindset with strong ownership mentality
