We are partnering with a highly respected $3B AUM investment firm known for its disciplined institutional approach and lean high-performing team. This is a high-impact visible role where you will serve as the operational backbone of the New York office while supporting senior leadership at the highest level.
This is not a traditional office rolethis is a trusted partner position for someone who thrives in fast-paced financial environments and takes pride in delivering a seamless polished workplace experience.
What Youll Do
Oversee day-to-day office operations ensuring an efficient professional and high-performing environment
Manage vendor relationships including building management IT and facilities
Coordinate office logistics: space planning supplies equipment and maintenance
Provide high-touch executive support to senior leadership (complex calendars meetings travel coordination)
Lead planning and execution of internal events and select client-facing functions
Oversee new hire onboarding logistics in partnership with HR and IT
Manage office budgets invoices and expense reporting with precision
Serve as the primary liaison with external service providers
Develop and refine office policies procedures and best practices
Ensure compliance with firm standards and NYC workplace expectations
What You Bring
8 years of office management experience REQUIRED within:
Hedge fund
Private equity
Investment banking
Real estate investment / financial services
Proven experience supporting C-level executives or senior investment professionals
Strong background managing vendors budgets and office operations in NYC
Exceptional organization discretion and attention to detail
Ability to thrive in a high-expectation fast-paced environment
Proficiency in:
Microsoft Office Suite
Concur
Zoom / Microsoft Teams
Experience with executive travel expense management and event coordination
Proactive solutions-oriented mindset with strong ownership mentality
