Job Summary
The Data Analyst will be part of a small team of data professionals and will be responsible for owning the end-to-end KPI reporting process across TMS programs and services. This includes program-specific data collection data validation dashboard development and the final polish of data visuals and surrounding design. Beyond reporting the analyst will serve as the departments primary resource for organizational statistics requests a functional expert on our internal data systems and an advisor to internal project teams when program or service data is involved. The analyst will also pursue opportunities for deeper analytical work contributing findings that inform leadership decisions and over time help tell the story of client journeys across our programs and services. These contributions are crucial for maintaining donation transparency accurately reporting results to funders highlighting community impact and uncovering operational insights. The successful candidate should possess a solid understanding of data analytics experience with data visualization tools a strong eye for design and professional qualities such as exceptional attention to detail strong communication skills a collaborative spirit and a genuine willingness to grow within the role.

MAJOR DUTIES AND RESPONSIBILITIES:
- Own the full KPI reporting cycle across 8 programs collecting monthly data from different sources and accurately consolidating their metrics into our centralized data repository ensuring each entry is aligned with its associated reporting details accurately reflecting whats been reported.
- Lead or assist in regular reviews of our historical data records using secondary or tertiary sources to eliminate anomalies and following up directly with program staff when discrepancies cannot otherwise be resolved.
- Produce and distribute monthly KPI reports that display collected metrics organized by program/theme applying thoughtful use of color layout and design elements to create cohesive professional and visually compelling reports.
- Create city-specific KPI reports for leadership as requested incorporating various types of metrics that invite meaningful conversation show impact and highlight reach.
- Maintain optimize and build dashboards connected to our internal data systems that visualize and quantify client actions team performance and stream-specific outputs as per the needs of program and organization leaders.
- Serve as the primary point of contact for all organizational statistics requests fulfilling them accurately and promptly in accordance with agreed upon timelines.
- Develop deep expertise in the metrics overseen by the department including internally defined calculations and how they relate to measures commonly used in our sector becoming the go-to resource for communicating those metrics across the organization.
- Become a functional expert on our internal data system supporting program staff with change requests new functionality needs user setup and other light system administration tasks as directed.
- Collaborate with program leaders on data process improvements parameter definitions reporting enhancements and other initiatives that refine how program data is captured and communicated setting meetings with relevant stakeholders when deeper discussions are required.
- Conduct deeper analytical dives into program data as opportunities arise presenting findings to the Director leadership and other stakeholders in a clear and meaningful way.
- Pursue opportunities for advanced analysis and data science exploration as organizational needs evolve with support from third-party training or direct mentorship from the Director.
- Distribute finalized KPI reports to organizational leaders and respond to any follow-up questions that may arise.
- Proactively identify opportunities for process improvement new metrics worth capturing and ways to automate manual reporting tasks.
- Document existing processes procedures and best practices to support long-term department sustainability
- Assist the Director QMS with analytical initiatives process enhancements and other ad hoc requests as needed
MINIMUM QUALIFICATIONS AND SKILLS
- A post-secondary degree in computer science data science statistics mathematics business intelligence or a related discipline
- Proficiency with basic statistics and mathematics including familiarity with how performance metrics are defined and calculated
- 3 years of experience using data visualization tools. Experience with MS Power BI is strongly preferred or a demonstrated eagerness to learn it quickly
- Advanced skill in MS Excel
- Working knowledge of MySQL or similar relational databases. Experience writing queries to extract and manipulate data would be considered an asset
- A strong eye for design with the ability to use color layout and visual hierarchy to produce polished professional and audience-appropriate reports
- Exceptional attention to detail with the ability to manage and validate data accurately across multiple programs parameters and reporting details simultaneously
- Strong analytical and problem-solving skills with the ability to investigate data anomalies identify their root cause and recommend or implement a resolution
- Strong interpersonal and communication skills. Comfortable initiating and leading meetings with program leaders presenting findings to leadership and serving as a reliable point of contact across the organization
- Demonstrated ability to learn and maintain working knowledge of internal data systems including supporting end users and relaying technical needs to the appropriate parties
- Comfortable working in an advisory capacity representing departmental interests in cross-functional discussions and escalating to leadership when direction is needed
- Creative teachable and self-motivated with the ability to work both independently and collaboratively
- Excellent time management and organizational skills with the ability to manage multiple deliverables and deadlines concurrently
- Previous experience working with a marginalized population particularly those experiencing homelessness would be considered an asset
- Experience with other MS tools (e.g. Outlook SharePoint PowerApps Power Automate etc.) would be considered an asset
- Experience with programming languages (e.g. PHP Python R SQL VBA etc.) would be considered an asset
WORKING CONDITIONS
- Lifting traveling sitting standing walking driving personal vehicle etc. required as part of this role
- Hybrid work environment with at least three days in the office
- Some travel may be required
