About the role

As anExecutive Support Officer you willprovidea full range of coordination communication administrative and project support to the Director DisabilityServices NT enabling them tooperateeffectively and efficiently.

The successful candidate will havepreviousexperience supporting a senior leader will be highly relational a quick learner problem solverand be flexible and adaptable to thrive in a fast-paced environment with rapidly changing priorities.

This role is permanentfull-timerolebasedinourDarwinoffice(2-3 times per week)withhybrid work from home arrangements.

Key responsibilities

  • Providetimelyand effective diary management
  • Prepare high quality documents (reports letters submissions etc)
  • Arrange travel and accommodation asrequired
  • Administration support includingreconciliation of monthly expenses
  • Plan and coordinate meetings(including agenda preparationcollation of papersand takingminutes)
  • Ensure the Director is prepared for all meetings and events (including briefing materialspresentationsandlogistics)
  • Review incoming correspondence prepare aresponseand/or send written correspondence on behalf of the Director
  • Coordinate and collate operational reporting including analysis and insights
  • Monitor the implementation of Strategic and Business Plans for the Director
  • Proactively work with stakeholders to ensure achievement of timelines budgets and outcomes and providing updates asrequired.
  • Stay abreast of industry themes trendschangesand developments
  • Establish andmaintainworking relationships with key internal and external stakeholders

Skills & experience

  • Experience providing support to a Senior Leader
  • Experiencebuildingandmaintainingrelationships with key internaland external stakeholdersat all levels
  • Problem solving skills and ability to consider strategic implications of decisions/actions
  • High levelof influencingverbalandwritten communication skills
  • Abilityto develop and collate organisation reporting and paperson complex and sensitive matters
  • Ability to manage sensitive information andmaintaina high degree of confidentiality
  • Demonstratedabilityto manage conflicting priorities work underpressureand meet deadlines
  • Advancedproficiencyin Microsoft Office suite of programs.

Successful candidates willbe requiredto clear probity checks including National Criminal History Record Check.
