Job title:Executive Assistant to the Director General (f/m/d)


Job location: The Central Executive Management Office of BBMRI-ERIC in Graz Austria (or exceptionally remote work from Lübeck/Hamburg Germany)


Job purpose: We are seeking a highly experienced Executive Assistant to support the Director General in a demanding intergovernmental and European environment characterised by multitude of stakeholders tight deadlines and frequent high-level engagements.
This role requires more than strong administrative skills. It calls for an individual who understands the everyday pressures of senior executive leadership in an intergovernmental context and who can act as a trusted and proactive partner to the Director General.


Contract: Full-time contract (40 hours/week).

BBMRI-ERIC is the European Research Infrastructure for biobanking and biomolecular resources established in 2013 under EU legislation. BBMRI-ERIC enables the development of innovative technology and processes as a cross-domain network that facilitates responsible access to high quality samples data and biomolecular resources. We achieve this through multidisciplinary expertise and service provision scientific excellence knowledge exchange and partnerships in health and life sciences. Key responsibilities:

  • Provide high-level executive support to the Director General starting with the management of a complex and dynamic agenda
  • Coordinate internal meetings with the leadership team and set up high-level external engagements
  • Ensure seamless logistics and planning for frequent and often consecutive international business trips and events across multiple time zones
  • Anticipate Director Generals needs identify potential risks or scheduling conflicts and propose solutions proactively
  • Coordinate closely with the Heads of Departments thereby ensuring all the documents for the Director General are prepared well in advance
  • Navigate sensitively between political institutional and scientific stakeholders
  • Handle confidential and sensitive information with the highest level of professionalism and discretion

In this role your required qualifications and skills are:

  • Substantial experience as an Executive Assistant (or equivalent senior support role) to a Director General Secretary General or comparable senior executive in a complex international or European-level organisation
  • Strong understanding of the dynamics of working in an international environment with both political and scientific stakeholders
  • Excellent organisational and prioritisation skills with the ability to work effectively under pressure manage competing priorities and remain calm and effective
  • High level of political sensitivity sound judgement and emotional intelligence
  • Excellent organisational communication and interpersonal skills
  • Comfortable working in a multicultural environment with diverse teams and leadership styles
  • A scientific background preferably in biomedicine is a strong asset but not a requirement
  • Professional fluency in English as English is the official working language of BBMRI-ERIC; fluency in German is a strong asset but not a requirement
  • Leadership experience is an advantage



Employment terms and conditions

As we aim to provide a diverse work environment the work will be performed at the headquarters in Graz with occasional home office options or exceptionally remotely.

The employment follows the Austrian employment law.

What we offer

A minimum annual gross salary of 58000.00 (based on 40hours/week) will be offered aligned with European and international standards for comparable roles and responsibilities. The final salary will be determined based on the candidates qualifications (such as a scientific background or relevant degrees) and experience.
