BGC Saskatoon (BGCS) is a non-profit organization dedicated to serving children and youth in Saskatoon and has been offering programs in Saskatoon and surrounding areas since 1974. We believe that Opportunity Changes Everything and that all children should have the opportunity to participate in quality programs right in their own community. BGC Saskatoon operates programs in Saskatoon Martensville Langham Dalmeny Warman and Regina.
BGC Saskatoon employs a group of dedicated staff and volunteers to work with children youth and families delivering programs in the following service areas:

  • Early Learning Centres
  • Before and After School Programs
  • Neighborhood Clubs
  • Summer Day Camps
  • Youth Employment Program
  • Rosewater Connection Mental Health Initiatives

Position Overview

Reporting to the BGC Saskatoon Outreach Coordinator the Outreach Support Specialist plays an essential role in supporting the administrative and clientcare functions of the Rosewater Connection Mental Health Initiative. This position supports the Outreach Coordinator in the delivery of programs and services and ensures seamless scheduling communication and tracking of counselling services while providing timely followup and assistance to clients. By maintaining accurate records coordinating appointments and supporting data collection this role strengthens the Initiatives ability to deliver accessible organized and clientcentered mental health support. The Outreach Support Specialist will also work with the Director of Childrens Programs providing administrative and operational support to ensure the success of BGC Saskatoon Summer Day Camp Programs.

The Outreach Support Specialist represents BGC Saskatoon with professionalism and compassion upholding organizational values and contributing to a welcoming inclusive environment for children youth and families. This is a full-time position that is eligible for the full benefits package provided by BGC Saskatoon and may require work outside of normal business hours to support events meetings and community initiatives.

KEY RESPONSIBILITIES (not limited to):


Administrative & Scheduling Support
  • Ensure all referral and registration forms are accurately completed to support participant intake.
  • Coordinate transportation bookings (e.g. cabs) for counselling appointments.
  • Manage and maintain access to the counselling appointment booking system.
  • Monitor counsellor calendars and waitlists to support efficient scheduling.
  • Send appointment reminders (12 per session) and track reminder timelines.
  • Maintain and update the master tracking sheet including:
  • appointment dates and times
  • number of sessions completed
  • client status (active rescheduled noshow followup required)

Client Follow-Up & Care Coordination
  • Contact clients who miss appointments to assess needs reschedule or provide additional support.
  • Conduct checkins with clients awaiting services or requiring ongoing support.
  • Communicate clearly and professionally with clients counsellors and internal staff.
  • Escalate concerns to the Outreach Coordinator when needed.

Data & Reporting Support
  • Compile data from referrals intake forms tracking sheets scheduling systems for reporting requirements.
  • Prepare summaries for program evaluation and outcomes reporting.
  • Maintain accurate and confidential records according to organizational standards.

Program Support & Collaboration
  • Work closely with the Outreach Coordinator to ensure efficient workflow within the mental health and other outreach initiatives.
  • Support the coordination of counselling programs outreach activities and client engagement processes.
  • Attend team meetings and contribute to discussions related to program improvement client needs and service delivery.
  • Uphold BGC Saskatoon core values in all interactions with children youth families and stakeholders.
  • Provide administrative and operation support to the Director of Childrens programs for summer day camp programs

KEY REQUIREMENTS & QUALIFICATIONS

  • Some post-secondary education or experience in Psychology Sociology Social Work or other related field (asset).
  • Experience working or volunteering in the non-profit sector (asset).
  • Strong administrative skills including proficiency with Microsoft Office (Outlook Excel Word) (required).
  • Experience with scheduling systems or case management software (asset).
  • Strong written and verbal communication skills (required).
  • Ability to work independently while contributing to a collaborative team environment.
  • Clear Criminal Record Check & Vulnerable Sector Check prior to employment.
  • Understanding of traumainformed and clientcentered practices (asset).
