Job Summary

We are looking for a Business Assistant to join our Employment team to oversee the client billing administration. The successful candidate will optimise the end-to-end billing procedures ensuring a seamless client service from onboarding to debt recovery working with Partners fee earners business functions and clients.

This position is ideal for an individual who excels in building relationships with colleagues and key stakeholders and is eager to take ownership of the business aspects necessary to deliver high-quality client service.

Main duties and responsibilities

The Business Assistants primary responsibility will be to manage the groups pre-billing administration overseeing the entire process with a focus on quality assurance and continuous improvement. Specific responsibilities include:

  • Ensuring quality assurance and accurate issuance of invoices in accordance with client billing guides and specifications.
  • Overseeing the creation and review of monthly invoices coordinate WIP balances and billing expectations with Partners obtain client approvals and liaise with the Group Billing team for invoice preparation.
  • Sending invoices to clients and confirming their uploading via Ebilling.
  • Monthly billed fees monitoring and reporting providing regular status updates to the Partners and Group Head including month-end results.
  • Overseeing and monitoring rates for each client ensuring consistency in rates applied to matters and accurately reflecting them on invoices.
  • Regularly liaising with the colleagues in the Finance function including revenue and credit controllers to drive ongoing performance improvements to the billing process.
  • Responding to client accrual and statement of account requests.
  • Management of external and counsel invoices to be added to matters as disbursements.
  • Managing client onboarding and matter opening process engaging with the Business Acceptance team.
  • Overseeing and reporting fee-earner time recording status.
  • Overseeing and monitoring the creation and maintenance of engagement letters including ongoing reviews of matters.
  • New matter creation end to end process
  • Monitoring and processing of supplier invoices
  • Leading the client feedback processes sharing surveys with clients identifying and tracking responses and contributing to the groups continuous improvement efforts.

Person specification

  • Finance/business degree or relevant experience and commercial awareness
  • Proficiency in Outlook Word PowerPoint Excel and 3E.
  • Highly organised and detail-orientated
  • Motivated with excellent communication skills and ability to build rapport with stakeholders secretaries and clients
  • Problem-solving abilities and abilities to work independently Ability to work under-pressure to meet tight deadlines and handle multiple tasks
  • Professional services experience desirable but not essential.
