The Role
You will turn our office into more than just a workplace youll make it a hub of creativity and connection. Your role is a hybrid ofoperational excellence cultural stewardship and digital productivity. You dont just work hard; you work smart leveraging technology to amplify your impact.
What Youll Do
1. Office Operations (Powered by Tech)
- The HQ Guardian: Manage daily operations at Mariahilfer Straße. From door access to coffee supply you ensure the physical environment is flawless.
- Smart Vendor Management: You are the main point of contact for landlords and suppliers. You use AI tools to quickly summarize contracts draft professional German correspondence and compare vendor quotes efficiently.
- Onboarding Experience: Prepare desks and welcome kits for new fiskalyers ensuring a warm organized start.
- Health & Safety: Ensure compliance with Austrian workplace safety regulations (Arbeitssicherheit) and act as the first responder for office needs.
2. Event Management & Culture
- Creative Planning: Plan legendary internal events (Fiskalypubs Summer Parties Offsites). You utilize Generative AI (e.g. ChatGPT Midjourney) to brainstorm unique themes create mood boards and draft engaging internal invitations.
- External Touchpoints: Coordinate hackathons meetups and industry guest visits ensuring the fiskaly brand shines.
- Travel & Logistics: Support international team members with travel bookings using modern tools to streamline itineraries.
3. Administrative Wizardry
- Budgeting: Manage the office budget for supplies and events using Excel/Notion AI features to track spending patterns and predict future needs.
- Inbox Zero: Handle incoming post and general inquiries utilizing LLMs to draft rapid polite and accurate responses in both German and English.
What You Bring
- Experience: 2 years in Office Management Event Planning or Hospitality.
- AI & Tech Literacy: You are an early adopter. You are comfortable prompting AI tools (like ChatGPT Claude or Notion AI) to speed up writing translation and ideation tasks. You are proficient in Slack Google Workspace and Jira/Confluence.
- Language Skills: You are fluent in German (essential for Austrian bureaucracy/vendors) and fluent in English (our company working language).
- The Host Mentality: You genuinely enjoy helping people and spot needslike an empty water coolerbefore anyone else does.
- Organizational Pro: You love lists schedules and clear processes. Multitasking energizes you rather than scares you.
