Job Summary

Reporting to the Executive Director Professional Graduate Programs (PGP) the Assistant Director Recruitment & Outreach is responsible for planning coordinating executing and evaluating strategies and tactics to attract and convert quality applicants to students. The main objectives are to develop and manage relationships with prospective applicants to meet enrolment goals on an annual basis and contribute to the outstanding global reputation of Smith School of Business. The incumbent will regularly liaise with stakeholders and partners at the University (e.g. Marketing Professional Graduate Program Services Development and Alumni Relations Business Career Centre) and around the world (e.g. alumni corporate partners MBA recruitment event company representatives). The incumbent will be an integral member of the management team and work collaboratively with the Assistant Director Recruitment and Admissions Recruitment Advisors Application Advisors and Program Directors.
The incumbent will represent Smith at traditional and non-traditional recruiting events globally. This role will require national and international travel.

Job Description

KEY RESPONSIBILITIES:
In collaboration with the Executive Director and Program Directors create an enrolment plan that lays out student recruitment objectives and the means of achieving them. This will include developing an annual and longer-term business plan to guide marketing and recruitment activities.
Ensure that student recruitment and admissions processes are aligned to deliver a seamless high-quality experience to candidates.
Work collaboratively with the Assistant Director Recruitment and Admissions to support the Recruitment Advisor and Application Advisor teams
Develop in collaboration with the Directors of our Master level programs a recruitment strategy embedding the individual needs into a broader national and international recruitment plan. The Assistant Director Recruitment & Outreach will be responsible for the tactical execution of the recruitment strategy.
The incumbent will actively recruit and meet with prospective students making group presentations and holding one-on-one consultations. Within a very competitive landscape the Assistant Director Recruitment & Outreach will work with candidates to anticipate and identify their needs and concerns to help guide and influence their decision. This will include working with and advising the Application Advisors to ensure they have the correct information and talking points to effectively support our masters level recruiting.
Maintain oversight of the yearly student recruitment budget and ensure that costs are appropriately controlled throughout the year making recommendations for future year adjustments as required
In partnership with PGP stakeholders liaise with the Salesforce team to ensure that the customer relationship management system is working as effectively as possible to meet our goals; and make recommendations for optimization.
Maintain an active seat on Admissions Committees and make informed recommendations about student admissions and scholarship decisions.
In support of the Executive Director and in concert with the Marketing department and PGP representatives plan and execute targeted marketing and recruitment activities to ensure a well-qualified applicant pool. This includes but is not limited to; providing insights into brochure and website content developing webinar content identifying prospective student groups determining best methods to reach prospective students soliciting qualified applicants converting candidates to registrants and limiting melt.
Maintain an up to date understanding of the various masters levels competitive landscape and make recommendations to the Directors accordingly.
Develop and maintain expertise on international educational systems and apply that expertise towards the recruitment processes used towards the enrollment of international students.
Represent the School and University:
oParticipate in and advise on international engagement activities of the Business School and University as a whole as needed.
oParticipate in domestic and international student recruitment trips and attend relevant fairs and conferences in Canada and abroad.
oRepresent the University on external committees bodies and organizations as appropriate.
Identify develop and maintain relationships with key domestic and international partners. These include corporate contacts; trade commissioners and other contacts at Canadian embassies and consulates; alumni; current international students; governmental and non-governmental organizations involved with the marketing of Canadian education abroad etc.
Identify develop and maintain relationships with key University partners. These include the Office of the University Registrar Queens School of English and Queens University International Centre.
Contribute to the indirect supervision of staff within the PGP. Specifically Recruitment Advisors Application Advisors and the Program Manager

REQUIRED QUALIFICATIONS:
Post-secondary degree with a focus on business; an MBA is an asset
Five years experience in a similar recruitment role considered an asset
Exceptional relationship-building ability
Extensive experience working internationally and across cultures
Extensive experience developing presentations and speaking to large and diverse audiences Student recruitment marketing or public relations background is an asset
Extensive experience in student recruitment or educational sales.
Demonstrated ability to work independently towards objectives with minimal supervision
A familiarity with the University and its operating procedures specifically the Smith MBA program is considered an asset
Must be able to travel domestically and internationally

Consideration will be given to candidates with the equivalent combination of education and experience

Ability operationally manage within and strategically contribute to a recruiting budget
Ability to work autonomously and exercise independent judgment with minimal direct supervision
Ability to work within a team and maintain a collegial working relationship with faculty staff students corporate partners and external vendors.
Ability to adhere to strict confidentiality
Strong negotiation skills
Proficient computer and office skills with a variety of programs as well as an ability to learn and stay current with new technologies
Experience harnessing and leveraging technology particularly social media to advance communication and tracking strategies
Ability to travel internationally and work non-traditional hours (some evenings/weekends)

DECISION MAKING:
In collaboration with Directors determine the appropriate methods and budget required to recruit students to Smith
Make effective recommendations on student admission to masters level programs.
Decide how and when to best invest time and attention to various recruitment activities for optimum results
Determine best methods and practices for engaging with prospective students creating and recommending strategies to secure top talent for the school
Determine what and when to escalate to others
Determine best approach to connect applicants to Alumni faculty and staff
With Directors of programs determine and develop strategic and effective marketing plans for recruiting and promotion of master level programs
Determine and evaluate criteria to measure the effectiveness of recruitment activities
Working with the Directors determine the best approach and position for the School on international recruitment events schools etc.
Recommend content for communications (print web other electronic presentations)
Decisions regarding the indirect management and supervision of various individuals
Decide how to prioritize activities to accomplish objectives for self and indirect reports
Make recommendations on resource allocation as well as staff and budget recommendations for supplemental resources to support plans
