Position Title: Administrative Assistant People & Culture Canada Summer Jobs

Location: Toronto ON

Term: Full-time Contract 10 weeks (Existing vacancy)

Reports To: Manager Employee Relations

Salary: $17.60/hour

I. Scope and Summary of Primary Responsibilities

This funded position through the Canada Summer Jobs Program offers the opportunity to gain experience and learn practical skills associated with supporting human resources functions within a national health services organization.

VLRC is seeking a motivated and detail-oriented Administrative Assistant to play a crucial role in supporting the efficient operation of HR-related activities within the organization. You will be responsible for contributing to the delivery of accessible and inclusive employee services by assisting with administrative processes coordinating communications and supporting the smooth execution of various HR policies resources and initiatives.

To be eligible for the funding associated with this position you must be:

  • Between 15 and 30 years of age (inclusive) at the start of employment
  • A Canadian citizen permanent resident or person on whom refugee protection has been conferred under the Immigration and Protection Act
  • Legally entitled to work according to the relevant provincial/territorial legislation and regulations. International students are not eligible.

II. Essential Functions

The position entails but is not limited to the following general responsibilities:

  • Provide comprehensive People & Culture administrative support including but not limited to filing drafting correspondence document preparation.
  • Assist with the development distribution and communication of HR policies and procedures ensuring that employees have access to relevant information and resources.
  • Support administrative functions to ensure completion of work accurately and within established time frames.
  • Update employee files and other related documents to support the team.
  • Provide project/special assignment support gather information and conduct research on a variety of People and Culture topics as required.
  • Contribute to workflow improvement or automation projects by creating templates streamlining processes and organizing information that enhances efficiency.
  • Assist in updating and maintaining the employee self-service portal.
  • Other duties as assigned.


Requirements

III. Qualifications

Education and Certifications

Be enrolled in degree or diploma studies in Human Resources or a related field.

Experience and Qualifications

Advanced skills in Microsoft Suite.

Excellent written and oral communications skills.

Strong organizational skills with the ability to prioritize tasks and manage multiple deadlines effectively.

Excellent administrative time-management and organizational skills.

High level of attention to detail and accuracy particularly when handling confidential information.
