Job Summary

The Medical Records Retrieval Associate is responsible for receiving organizing tracking and securely uploading medical records into designated systems to support Clinical Documentation Integrity (CDI). This role focuses on accurate file management timely uploads and compliance with HIPAA and internal security protocols.

Primary Duties

Record intake and upload processing

  • Retrieval of electronic medical records from partner practices or internal teams

  • Organize and validate records for completeness prior to upload

  • Upload medical records into designated CDI audit platforms

Tracking indexing and quality checks

  • Accurately label and index files to ensure correct patient attribution

  • Track upload volumes and maintain documentation of records processed

  • Monitor upload queues to ensure turnaround time targets are met

Issue resolution and team collaboration

  • Identify missing or incomplete documentation and escalate appropriately

Administrative documentation and compliance

  • Maintain strict adherence to HIPAA and data security policies

  • Collaborate with CDI and other teams to resolve file access issues

Minimum Qualifications

  • HS Diploma

  • 2 years of experience with Medical Record or Chart retrieval processes

  • Software Proficiency: Strong familiarity with Electronic Health Record (EHR) systems

Preferred knowledge skills and/or abilities

  • Excellent communication and presentation skills both written and verbal

  • Experience supporting the medical records department.

  • Familiarity with CDI workflows

  • Experience with file indexing and document management systems

  • Basic knowledge of ICD-10-CM terminology
