Position Overview:
Support the European Legal group (and others in the Legal Department as assigned) in all administrative and operational services related to the legal department acquisition and disposal of properties and the management of the existing portfolio of properties.
Key Responsibilities:
Assist the legal team with the following:
- Pro-actively assist with and manage transaction projects
- Assist in design and review of legal operations
- Compile file documentation for transactions as required and upon request
- Organise and manage files for numerous properties and legal entities
- Deal with post-closing items and preparation of transaction reports and other interdepartmental communications
- Arrange the preparation and delivery of notices to tenants and third parties with instruction as required
- Deal with records retention and filing including management of documents on SharePoint and internal and external drives
- Managing trackers for deals costs and regular updating of trackers of legal information.
- Invoice management including collation tracking and coordination
- Collate responses to KYC/AML documentation
- Coordinate and liaise with outside advisers
- Collate and distribute documentation as required
- Prepare tenant communications
- Assist with routine lease activity (licenses easements releasing) as instructed
- Photocopying printing and postal arrangements
- Arranging/scheduling large meetings
- Handle various requests for assistance and support
Organisation Relationships:
- Attend and participate in European Legal group meetings and Legal Department meetings;
- Regularly communicate with the Company lawyers Paralegals and Environmental Technical and Lease abstraction teams to coordinate and advise as to the status of assigned matters;
- Communicate as needed with outside counsel and other advisers tenants and third-party service providers as needed and
- Correspond with various internal employees as needed.

Candidate Requirements
Knowledge Skills and Abilities
Must have for the role:
- Suitable Legal Assistance or Paralegal or Legal Analyst experience within a Real Estate team either from a City law firm or real estate focused investment fund; exceptional candidates outside of this range will be considered; with experience in commercial real estate transactions and/or litigation.
- While we do not set upper or lower limits of experience for any of our vacancies candidates with at least 3 years suitable experience and/or training are likely to have the right level of knowledge and experience. Combination of education training experience skills and other characteristics that would provide the requisite knowledge and abilities in support of the essential job functions.
- Familiarity with lease and property documentation and language.
- Strong organisational and administrative skills including performing duties with a high degree of accuracy timeliness and pro-activity.
- Understanding of how to prioritise manage a large work-load and meet deadlines.
- Competent in Excel Word Outlook SharePoint and other Microsoft Office applications. (Enter and retrieve data from a computer with sufficient speed and accuracy to perform assigned work.)
- Research capabilities.
- Proficient written and verbal communication skills with the ability to seek guidance as appropriate and work independently.
- Ability to compose correspondence and reports from brief instructions.

Offers near the high end are uncommon but may be considered for candidates with exceptional experience and skills and are dependent on the facts and circumstances of each case. You may be eligible for an annual discretionary bonus and an annual discretionary stock award to be discussed during the interview process. An annual pay rate and total compensation package is generally determined by the candidates experience knowledge education skills performance and abilities as well as internal equity company performance and alignment with market data.
