Position Title: School Secretary II Attendance Secretary
Classification: Classified / Support / Unlicensed
Terms of Employment: Full Time 170 Days
FLSA Status: Non-Exempt
Salary Placement: This is a classified position assigned to the classified salary schedule.
POSITION SUMMARY
Under general direction performs a variety of complex secretarial and attendance-related duties requiring substantial independent judgment. Responsibilities include maintaining accurate student attendance records providing administrative support and performing general accounting and clerical functions while ensuring compliance with district and state regulations.
ESSENTIAL DUTIES AND RESPONSIBILITIES

- Plans organizes and sets priorities for work; functions effectively both independently and as part of a team.
- Interprets explains and applies written and oral instructions procedures and district policies.
- Maintains accurate student attendance records including daily attendance tardies early dismissals and truancy reports in accordance with district and state requirements.
- Communicates with parents/guardians regarding student absences and verifies attendance information.
- Prepares and distributes attendance reports to administrators teachers and district personnel as required.
- Obtains and relays information from visitors regarding their needs and when necessary refers them to appropriate administrative staff.
- Prepares board items travel arrangements and travel reimbursements in accordance with district procedures.
- Maintains calendars and schedules appointments meetings and conferences.
- Composes prepares and edits confidential correspondence and complex reports.
- Assists in the preparation of the department budget and special program reports.
- Coordinates the work of several others in relation to the needs of specific projects or programs.
- Utilizes student information and office software systems to maintain accurate records and generate reports.
- Ensures compliance with confidentiality requirements including the Family Educational Rights and Privacy Act (FERPA).
- Conforms to safety standards as established by district and regulatory guidelines.
- Performs other tasks related to the position as assigned.
DISTINGUISHING CHARACTERISTICS
This classification involves complex secretarial duties pertaining to a highly specialized activity or a large operating department. The Attendance Secretary functions with a high degree of independence and serves as a key resource for attendance compliance and reporting.
KNOWLEDGE SKILLS AND ABILITIES
Knowledge of:
- Modern secretarial and office practices procedures and equipment.
- Record-keeping and basic accounting procedures.
- School district operations and attendance policies in relation to division or department functions.
- Applicable state and federal regulations related to student attendance and confidentiality.
Ability to:
- Promote positive public relations and deal tactfully and diplomatically with students parents staff and the public.
- Plan organize and set priorities for work and perform duties independently.
- Interpret explain and apply written and oral instructions procedures and policies.
- Maintain confidentiality and uphold high ethical standards.
- Perform editorial review for spelling punctuation grammar and format.
- Work under pressure meet short deadlines and shift priorities as needed.
- Prepare and process letters and reports in conformance with established principles of style and format.
- Maintain a high level of accuracy and attention to detail.
- Prepare complex reports on own initiative or as directed.
- Work flexible hours or schedules when necessary.
- Recognize and report hazards and apply safe work practices.
- Exercise sound judgment regarding when to act independently and when to refer situations to a supervisor.
- Utilize computer applications such as word processing spreadsheets databases email and student information systems.
POSITION REQUIREMENTS
Education Training and Experience
- High school graduation or equivalent (e.g. GED college technical or trade school transcript or foreign equivalency).
- Three (3) years of progressively responsible secretarial or clerical experience.
- Verified keyboarding/typing score of 45 words per minute.
Preferred Qualifications
- Verified dictation score of 80 words per minute.
- Experience with student information or attendance management systems.
- Possession of the physical and mental stamina commensurate with the responsibilities of the position.
- Personal characteristics including poise professionalism integrity flexibility and appropriate appearance necessary for success in the Elko County School District.

Elko County School District facilities including school sites and department offices.
WORK ENVIRONMENT
Strength: Sedentary/Light Exertion of 1025 pounds of force occasionally up to 10 pounds frequently or a negligible amount of force constantly to lift carry push pull or otherwise move objects. Work is primarily performed in an indoor office environment with frequent interaction with students staff and the public.
Physical Demands: Frequent reaching handling repetitive fine motor activities talking and hearing.
Vision: Frequent near acuity and occasional far acuity. Mobility to work in a typical office setting and use standard office equipment. Vision to read printed materials VDT screens or other monitoring devices. Hearing and speech to communicate in person or over the telephone.
Environmental Conditions: Climate controlled office setting with temperatures ranging from mild to moderate cold/heat. Exposure to noise levels ranging from moderate to loud and occasional to frequent time periods.
Hazards: Furniture playground/office equipment communicable diseases chemicals (as related to specific assignment) and power/hand operated equipment and machinery (as related to specific assignment).
