Job Summary

Duties:

  • Manage supplier information requests (RfIs) for supplier qualification such as general company information labour standards questionnaires and other ethics & compliance related matters
  • Perform supplier background checks using BvD database assessing financial and other risk factors
  • Perform ESG risk assessment for suppliers using Ecovadis platform
  • Raising of Non-Disclosure Agreements (NDA) via HighQ and manage potential adjustments with Legal department. Follow up on signatures both internally and externally and archive agreements.
  • Manage the Vendor creation / change / extension process in SAP and Evolve including the gathering of information from various stakeholders and suppliers.
  • Issue various supplier mailings and follow up on responses
  • Maintain Purchasing Inforecords (PIRs) and Source Lists in SAP
  • Create outline agreements in SAP follow up on their internal approvals and manage supplier confirmations and feedback.
  • Review open outline agreements and adjust them where necessary to manage commitments to suppliers.
  • Support requests for quotation (RfQs) and create source packs by pulling technical specifications and drawings from multiple databases
  • Define standard processes for all tasks in scope of Sourcing Operations ensuring highest quality of results is delivered as well as appropriate controls and audit trails are in place
  • Define service levels for standard tasks and ensure these are met on a daily basis
  • Measure timeliness and accuracy of tasks by defining KPIs and reporting them to Sourcing management on a monthly basis
  • Use continuous improvement tools to drive efficiency of processes and accuracy of data.
  • Provide ad-hoc support to Category Managers and Sourcing leadership team as required
  • Support internal and external audits
  • Support annual standard cost roll activities.
  • Complying with all relevant legal requirements & Smiths policies and procedures including business ethics data protection and health & safety.
  • Other duties as required

Qualifications :

Technical Knowledge and Skills:

  • Degree in business with preferred fields including Procurement / Supply Chain Engineering or IT.
  • Minimum of 5 years work experience in Data Management / Analytics Procurement / Sourcing or Supply Chain role within a global organization.
  • Very experienced with SAP MM module.
  • Very good MS Excel skills. Proficient in MS Windows Teams Word PowerPoint and Outlook
  • Preferably experience with eSourcing systems
  • Experience in process mapping and optimization project management and continuous improvement tools.
  • Basic understanding of technical specifications and drawings
  • Fluent in English with very good oral and written communication ability. Knowledge of German and/or French would be a bonus.
  • Ability to manage own workload effectively and work to strict deadlines.
  • Willingness to support business hours in East Asia and Europe
  • Team player with strong communication skills and good cultural awareness.
  • Strong personal drive and motivation with ability to take initiative and drive issues
  • Analytic and problem-solving mindset
