Job Summary
Legal Administrative Assistant
Our client is a large corporate real estate group based in BC and they are seeking a skilled and detail-oriented Legal Administrative Assistant to support a senior legal leader and an in-house legal function within a complex fast-paced organization. This role provides broad administrative and clerical support across legal corporate and operational matters and is well suited to someone who is organized proactive and eager to continue developing their skills in a professional environment.
The ideal candidate brings strong foundational experience a high degree of professionalism and the ability to manage competing priorities while handling sensitive and confidential information with discretion.
Key Responsibilities
- Provide day-to-day administrative support to senior legal leadership including managing calendars coordinating meetings preparing correspondence and handling incoming communications.
- Prepare and format documents using dictation email instructions copy typing and handwritten notes (Word and Outlook).
- Track deadlines action items and deliverables and follow up with internal and external stakeholders as required.
- Maintain effective bring-forward and reminder systems to ensure timely follow-up.
- Draft review and organize legal and administrative documents including materials for filings and submissions.
- Coordinate court-related deadlines and scheduling where applicable.
- Conduct and report on various registry and due diligence searches.
- Maintain well-organized electronic and physical filing systems in accordance with document management and retention practices.
- Coordinate meeting logistics including scheduling room bookings preparation of materials and guest reception.
- Support contract administration by tracking agreements renewals key dates and approvals.
- Assist with corporate governance-related tasks including organizing materials and maintaining records as directed.
- Prepare and submit expense reports.
- Maintain up-to-date contact databases for internal and external stakeholders.
- Provide general administrative support across the legal and executive functions including preparation of presentations reports and ad hoc materials.
- Handle sensitive and confidential information with professionalism and sound judgment at all times.
Qualifications and Experience
- Minimum three (3) years of progressive administrative experience; experience in a legal or professional services environment is strongly preferred.
- Legal Administrative Assistant Certificate or equivalent training is considered an asset.
- Familiarity with British Columbia court procedures; exposure to conveyancing and related systems is an asset.
- Proven ability to manage confidential and sensitive information with discretion.
- Strong organizational and time-management skills with the ability to prioritize in a deadline-driven environment.
- Excellent written and verbal communication skills with a professional telephone manner.
- High attention to detail and a polished professional demeanor.
- Proactive adaptable and able to work independently as well as part of a team.
- Strong interpersonal skills with the ability to work effectively with individuals at all levels.
- Advanced proficiency in Microsoft Word Excel PowerPoint and Outlook; experience with document management systems is an asset.
