About the Role
As Booking Manager you will serve as the central point of coordination for group bookings managing the full lifecycle from initial inquiry through post-stay follow-up. This is a highly visible guest-facing role that requires strong organization attention to detail and the ability to manage multiple moving parts in a fast-paced environment.
You will work closely with internal teams and clients to ensure each experience is thoughtfully planned and seamlessly executed. From building detailed plans to hosting groups on-site your role is critical in delivering exceptional outcomes and fostering strong client relationships.
Key Responsibilities
Manage the full booking lifecycle from inquiry through planning execution and follow-up
Serve as the primary point of contact for clients ensuring a seamless and high-quality experience
Develop detailed run-of-show plans including lodging assignments schedules and logistics
Coordinate across internal teams including operations kitchen and facilities to ensure alignment
Host groups on-site and provide hands-on support during program execution
Maintain clear consistent communication with clients and internal stakeholders
Track booking details updates and client interactions within CRM systems
Ensure all logistics and program elements are well-organized and executed to a high standard
Requirements
Minimum 2 years of experience in hospitality event coordination group sales or customer success
Strong communication skills and consistent follow-through
Highly organized with exceptional attention to detail
Ability to manage multiple priorities and moving parts independently
Comfortable working in a fast-paced dynamic environment
Experience with CRM systems (HubSpot preferred)
