Accountabilities:
In this dynamic roleyoullmanage extensive diaries coordinate internal and external meetings arrange virtual meetings and videoconferences and handle complex travel arrangements including visas.Youllorganize and prepare materials for key meetings attend team and project meetings support agenda preparation take minutes and track actions.Youllcollaborate with managers on budgets run monthly reports track T&E process expenses and raise purchase orders. As an expert user of business systems like MS Teams Coupa Concur Box and SharePointyoullbe a professional point of contact for the department. With strong verbal written and interpersonal skillsyoullengage confidently across all levels of our organization buildingnetworksand supporting colleagues. Your influencing skills will help develop solutions and driveefficiencies. Working independentlyyoulladapt to changing demands with flexibility.
Essential Skills/Experience:
Entrepreneurial problem-solver
Strong written and communication skills and the ability to interact confidently with executives/employees
Experience and comfort with AI productivity tools (e.g.copilotAZChatGPT Notebook LLM)
Should be able to work autonomously and at the same time collaborate effectively with other members of the administrative support team
Flexible to adapt to ever-changing needs and deadlines
Ability to effectively multitask in a fast-paced environment whilemaintainingconfidentiality and discretion
Ability todemonstratetact persuasion and/or negotiation andmaintainconfidentiality
Strong time-management skills
Experience working in a fast-paced global environment
Advancedproficiencyin Microsoft Word Excel PowerPoint and Outlook
Extensive experience in a similar role
Desirable Skills/Experience:
Experience supporting C-Suite or senior leaders within the pharmaceutical industry
Strong IT skills andprevioususe of MS Teams Coupa Concur BOX/SPOL
Efficient in supporting staff with software updates
PreviousPharmaceutical Biotechnology Healthcare or AstraZeneca experience strongly preferred
