Job Summary

The Radiology Scheduler / Tech Assistant II supports diagnostic imaging operations by managing patient scheduling assisting with patient care tasks and performing clerical and administrative duties. This role ensures efficient workflow across multiple imaging modalities while maintaining high standards of patient care accuracy and regulatory compliance.


Key Responsibilities

Scheduling & Coordination

  • Schedule imaging procedures across modalities including PET/CT CT MRI Nuclear Medicine (NM) Ultrasound (US) Angio X-ray and Mammography.
  • Coordinate interventional procedures with radiologists technologists and nursing staff.
  • Obtain and verify authorizations physician orders CPT codes and ICD-9 codes.
  • Ensure medical necessity compliance especially for Medicare patients.
  • Review and validate next-day imaging schedules for accuracy and completeness.

Patient Registration & Preparation

  • Conduct patient interviews and pre-registration; collect demographic insurance and financial information.
  • Provide clear instructions regarding procedures and preparation requirements.
  • Obtain patient consents signatures and insurance documentation.
  • Communicate with and monitor diabetic PET/CT patients prior to appointments.
  • Verify primary and secondary insurance coverage.

Clerical & Administrative Support

  • Prepare and maintain charts and procedural documentation.
  • Enter and manage exam data in systems such as Epic Meditech and ITS.
  • Scan physician orders and ensure accurate record-keeping.
  • Handle subpoenas legal documentation and records management.
  • Manage imaging records including X-ray jackets and PACS documentation.
  • Print/burn CDs of imaging studies using PACS systems.

Patient Support

  • Transport patients via wheelchair stretcher or ambulatory assistance.
  • Assist with safe patient lifting and positioning.
  • Support technologists to maintain workflow efficiency.
  • Assist physicians with image access and viewing in PACS.

Customer Service & Communication

  • Answer incoming calls professionally and route appropriately.
  • Collaborate with physician offices radiology staff and internal departments.
  • Maintain clear professional and patient-focused communication at all times.

Compliance & Standards

  • Adhere to Medicare Secondary Payer guidelines and the Three-Day Rule.
  • Maintain strict patient confidentiality (HIPAA compliance).
  • Deliver age-appropriate care across diverse patient populations.

Required Skills & Qualifications

  • Strong experience in radiology scheduling workflows and multi-modality coordination.
  • Knowledge of CPT and ICD-9 coding.
  • Experience with PACS systems and medical imaging workflows.
  • Proficiency in Epic EMR (recent experience within 6-12 months preferred).
  • Excellent communication organizational and customer service skills.
  • Ability to multitask and perform effectively in a fast-paced high-volume environment.
  • Familiarity with medical terminology (preferred).

Education & Certification

  • High School Diploma or GED required.
  • Current BLS (Basic Life Support) certification required.

Experience Requirements

  • 2-4 years of recent radiology scheduling experience required including: PET/CT CT MRI Ultrasound Angio and X-ray.
  • Recent Epic experience (within the last 6-12 months) strongly preferred.

  • Manager is specifically seeking candidates with strong scheduling experience in a multi-modality radiology environment.
