Compliance Services Coordinator
Job Summary
Our Compliance Services Office is seeking up to 12 month contract role for a Compliance Services Coordinator to be thefirst point of contact for individuals wishing to dispute a fare or parking ticket within Metrolinxs Administrative Fees Program. Additionally a Compliance Services Coordinator is responsible for the implementation of a coordinated hearing process to provide customers with an efficient and effective forum by which to dispute their ticket. Furtherthe ComplianceServices Coordinatorprovides courteous and efficient coordination of the day-to-day activities related to the Administrative Fees Program and the administration of all by-law andprovincial offence charges issued by Metrolinx Provincial Offence .
Assesses ticket dispute submissions and supporting information to ensure compliance with statutory timelines and that the submissions contain sufficient detail to move it along to the next level in the Administrative Fees Program.
Conducts follow up communication with individuals disputing their tickets.
Assesses tickets issued by provincial offence officers for compliance with statutory requirements
Manages with independence competing priorities and deadlines to ensure the delivery of an efficient and effective alternative dispute resolution program
Accountable for ensuring that court/hearing documents and tickets are processed and filed in compliance with legislated timelines to support fare and parking enforcement and safety initiatives
Schedules hearings interpretersadminister files in the digital document sharing platform administers the filing of documents and distribution of document between the Hearing Officers and the parties act as liaison for communication between HearingOfficers and the parties host hearings ensuring that all technical systems work properly and allissues are resolved distributesHearing Officer decisions update and maintain hearingpolicies procedures and guidelines and maintain hearing records hearing statistics and other case management data and entering Hearing dispositions into the case management system
As hearings clerk of the administrative hearings is accountable to ensure that the hearing record is accurate and reflective of the responsible for marking and accurately recording evidence into the hearing record update maintain and secure electronic and hard copy files in compliance with corporate policies
Performs case management activities including the inputting of manual tickets in a timely manner opening files managingreceipt of case documents creating and organizing electronic files updating the case management system with detailed and accurate case notes and preparing reports on trends and emerging issues
Accountable to responding to customer inquiries (written or verbally) professionally and in a timely manner providing accurate information about the Administrative Fees Program and enforcement proceedings
Supports the prosecution team with the preparation of court packages and other legal correspondence schedules delivery arrangements and /or delivers offence notices to the various courts for filing maintains and updates staff calendars with upcoming trials and court attendance dates
Assists the Hearing OfficersProsecutors Interpreters and the public during administrative hearings
Responsible for the safe-handling and accurate processing of financialtransactions relating to fine payments and refunds in accordance with policies and proceduresHandles cash credit cheques money order e-transfer and debit sales and coordinates other financial transactions related to the program to reconcile payments process refunds and process fee/fine adjustments
Completion of a diploma in Courts/Tribunals Legal Assistant/Law Clears Paralegal Studies or a related discipline or a combination of education training and experience deemed equivalent.
Demonstrated years experience in a Legal field law firm or court office with particular emphasis on resolving disputes and providing excellent customer service.
