Key Responsibilities
1. Scheduling & Coordination
- Schedule imaging procedures across multiple modalities including:
- CT MRI Ultrasound X-ray PET/CT Mammography Angiography
- Coordinate appointments with physicians radiologists nurses and other departments
- Obtain and verify:
- Physician orders
- Insurance authorizations
- CPT (procedure) and ICD (diagnosis) codes
- Ensure compliance with Medicare medical necessity requirements
2. Patient Registration & Intake
- Collect and verify patient information:
- Demographics
- Insurance details
- Identification documents
- Enter and manage patient data in systems such as Epic and Meditech
- Determine primary and secondary insurance coverage
- Obtain required signatures on consent forms and documentation
3. Patient Preparation
- Provide patients with pre-procedure instructions
- Educate patients on imaging preparation requirements
- Monitor and communicate with special patient groups (e.g. diabetic patients scheduled for PET/CT)
4. Communication
- Answer and direct incoming calls professionally and courteously
- Communicate effectively with:
- Patients
- Physician offices
- Internal clinical teams
- Ensure clear and accurate information exchange
5. Administrative & Clerical Duties
- Prepare charts and documentation for imaging and interventional procedures
- Scan and upload physician orders and patient records
- Maintain accurate filing systems (including x-ray records)
- Process legal and compliance-related documents (e.g. subpoenas)
- Use PACS system to manage and distribute imaging studies (e.g. burn CDs)
6. Workflow & Operational Support
- Review and confirm next-day imaging schedules
- Ensure alignment between physician orders and scheduled procedures
- Prepare daily schedules for technologists and radiologists
- Assist with patient flow and departmental coordination
7. Patient Assistance
- Transport patients via wheelchair stretcher or ambulation
- Assist with safely moving patients onto imaging tables when needed
Required Skills & Qualifications
Education
- High School Diploma or GED required
Experience
- 2 4 years of recent experience in radiology or diagnostic imaging scheduling
- Experience scheduling across multiple imaging modalities required
- Recent (6 12 months) experience with Epic preferred
- Knowledge of medical terminology strongly preferred
Technical Skills
- Familiarity with:
- PACS (Picture Archiving and Communication System)
- Electronic Medical Records (Epic Meditech)

- Medicare regulations (e.g. Medical Necessity MSP Three-Day Rule)
