We are seeking a detail-oriented and proactive Executive Virtual Assistant (EVA) with strong bookkeeping experience specifically using Halaxy. The ideal candidate will support daily financial operations maintain accurate records and assist with administrative and executive tasks. This role requires a high level of organization confidentiality and the ability to work independently in a fast-paced environment.
Key Responsibilities:
Bookkeeping & Financial Management:
Manage and maintain financial records using Halaxy
Perform daily bank reconciliations and transaction matching
Generate and manage invoices receipts and payment tracking
Monitor accounts payable and accounts receivable
Prepare financial reports (profit & loss cash flow summaries etc.)
Ensure accuracy and compliance with financial procedures
Assist with payroll processing
Administrative & Executive Support:
Provide general administrative support to the executive team
Manage calendars appointments and scheduling
Handle email management and client communications
Organize files documents and financial records
Assist with data entry and reporting tasks
Coordinate with accountants and other stakeholders
Skills & Qualifications:
Proven experience as a Bookkeeper or EVA with bookkeeping responsibilities
Hands-on experience with Halaxy (REQUIRED)
Strong understanding of accounting principles and financial reporting
Proficiency in accounting tools (e.g. Xero QuickBooks is a plus)
Excellent attention to detail and accuracy
Strong organizational and time management skills
Ability to work independently and meet deadlines
