The Program Administrator provides operational leadership and administrative coordination to support the academic regulatory and strategic functions of the Nursing Program. Working in close partnership with the Associate Dean of Nursing Programs this role ensures effective coordination of projects accreditation activities personnel processes and operational systems that support program delivery.

This administrative leadership role supports operational execution of Nursing Programs priorities including accreditation support project management personnel coordination and infrastructure management.


Duties and Responsibilities:

Administration and Operations (60%)

Operational Coordination

  • Provides operational support to the Nursing Programs leadership
  • Coordinates calendars meetings correspondence and travel arrangements
  • Serves as a primary administrative contact for Nursing Programs operational needs
  • Supports implementation of Nursing Programs strategic initiatives
  • Develops and maintains project timelines to ensure initiatives remain on schedule
  • Identifies opportunities to streamline administrative processes and improve efficiency

Accreditation and Regulatory Support

  • Assists with preparation and submission of reports to regulatory and accrediting bodies
  • Maintains official accreditation documentation and correspondence (BRN CCNE AACN NLN and others)
  • Supports documentation tracking related to program approvals and regulatory communication
  • Assists with scheduling meetings and communications with regulatory agencies
  • Maintains strategic planning documentation and distributes updates to stakeholders

Operations Infrastructure

  • Coordinates Nursing Programs meetings advisory board meetings and external engagement activities
  • Maintains operational contact lists and workflow documentation
  • Routes Nursing Programs support requests to appropriate departments
  • Supports coordination of Nursing Programs events and initiatives
  • Serves as a coordination point for community partnerships and external stakeholders
  • Verifies completion of graduation requirements related to licensure eligibility

Project Management

  • Coordinates major Nursing Programs initiatives and tracks deliverables
  • Maintains operational dashboards and tracking tools
  • Supports implementation of new operational processes
  • Assists leadership in monitoring progress toward strategic goals

Human Resources Coordination (25%)

Personnel Processes

  • Coordinates staff recruitment documentation and personnel requisitions
  • Ensures staff job descriptions remain current
  • Tracks completion of performance evaluations
  • Maintains faculty and staff organizational charts
  • Supports onboarding logistics for new hires including workspace technology access and systems setup

Administrative Team Support

  • Serves as a resource to program administrative assistants
  • Coordinates administrative workflows across programs
  • Identifies staff training needs and supports professional development coordination
  • Supports Nursing Programs staff meetings and operational communications

Faculty and Staff Infrastructure

  • Maintains faculty databases and internal tracking systems
  • Coordinates internal directories and personnel lists
  • Supports Nursing Programs program logistics and materials preparation

Budget and Financial Operations (5%)

  • Assists with monitoring Nursing Programs cost center expenditures
  • Processes procurement card transactions for Nursing Programs leadership
  • Coordinates payment of institutional memberships and subscriptions
  • Supports review of faculty workload and compensation documentation as needed

Facilities Coordination (5%)

  • Coordinates with Facilities regarding workspace needs and accommodations
  • Supports ergonomic and accessibility requests
  • Maintains operational space documentation
  • Assists with coordination of office assignments and logistics

Technology Coordination (5%)

  • Serves as liaison with Information Technology Services
  • Supports faculty and staff technology onboarding
  • Maintains Nursing Programs distribution lists and shared platforms
  • Coordinates access to Nursing Programs collaboration platforms
  • Assists with troubleshooting operational technology needs

Service

  • Participates in Nursing Programs committees and operational workgroups
  • Supports BSN governance processes
  • Represents the Nursing Programs in operational initiatives as appropriate
  • Supports continuous improvement initiatives
  • Other duties as assigned

Minimum Qualifications

Education and Experience

  • Bachelors degree in business accounting or related field from an accredited institution preferred or 90 college credits and actively enrolled in a degree Bachelors degree program at an accredited institution required
  • Minimum three years of administrative or operational experience in higher education or healthcare
  • Experience coordinating complex organizational operations preferred
  • Experience supporting accreditation or regulatory processes preferred

Pay Range:

$29/hour to $38/hour (non exempt) based on experience

Samuel Merritt University currently provides base salary ranges for all positions-on job advertisements-in the United States based on local requirements.
