Job Summary

Summary
We are seeking a detail-oriented and personable Receptionist to join our dynamic Head Office team within the automotive industry. As the first point of contact for visitors clients and internal stakeholders this role plays a critical part in shaping the companys professional image and ensuring seamless day-to-day operations.

Responsibilities
  • Greet visitors clients and callers with a professional and welcoming demeanor.
  • Manage incoming phone calls emails and messages ensuring timely and accurate responses.
  • Schedule and coordinate meetings appointments and conference room bookings.
  • Maintain organized physical and digital filing systems for office records and documents.
  • Handle incoming and outgoing mail courier services and office supplies inventory.
  • Assist with basic administrative tasks including data entry document preparation and report compilation.
  • Troubleshoot minor office issues and escalate concerns to the appropriate departments promptly.
  • Support executive teams with travel arrangements expense reporting and other operational needs.
  • Ensure the reception area remains clean well-stocked and presentable at all times.
  • Act as a liaison between departments to facilitate smooth internal communication.


Requirements

Requirements:
  • High school diploma or equivalent; associate degree or certification in office administration is a plus.
  • 01 year of experience in a receptionist administrative assistant or customer service role.
  • Proven ability to solve problems efficiently and remain calm under pressure.
  • Exceptional attention to detail in all tasks from scheduling to document handling.
  • Proficient in Microsoft Office Suite (Word Excel Outlook) and Google Workspace.
  • Strong organizational and time management skills with the ability to multitask effectively.
  • Excellent verbal and written communication skills in English.
  • Demonstrated ability to build rapport and maintain positive relationships with diverse individuals.
  • Professional appearance and demeanor with a strong commitment to confidentiality and discretion.
  • Familiarity with office equipment (printers scanners phones etc.) and digital systems.
Preferred Qualifications
  • Experience in a corporate or automotive industry environment is advantageous.
  • Knowledge of CRM systems or office management software is a plus.
  • Ability to work independently and take initiative in a fast-paced setting.
