Job Summary

MANAGER OVERVIEW:
The Contract Administrator will support the build-out of a centralized contract database organizing and inputting 2200 physician and vendor contracts into a new contract management system as part of CharterCAREs transition to local ownership. This role will work onsite due to the sensitive nature of the information and will assist with tracking approvals managing contract flow and supporting the Director during a period of organizational restructuring and department expansion. Ideal candidates have strong administrative and Excel skills are comfortable working independently and can follow established processes to ensure contracts are accurately maintained and move efficiently through approval workflows (including CFO review). This is a temp-to-perm opportunity with long-term growth potential.

JOB DESCRIPTION SUMMARY:
The Contract Administrator provides administrative and operational support in the administration of contracts and related documentation. This position assists with maintaining electronic contract management systems supporting contract workflows and ensuring accurate recordkeeping in accordance with organizational policies and procedures. The role is well suited for individuals with a background in administrative support or recent graduates seeking to develop skills in contract administration and electronic management systems. Contract Administrator will report to Contracts Director.

JOB DUTIES:
Assist in the preparation organization processing and maintenance of contracts and related documentation.
Support the administration of electronic contract management systems.
Enter update and maintain contract data and records in electronic management systems with a high degree of accuracy.
Track contract statuses deadlines amendments and renewals and notify appropriate staff as needed.
Maintain organized electronic and paper files in accordance with retention and confidentiality requirements.
Prepare basic reports correspondence and supporting documentation related to contracts.
Provide general administrative support including scheduling document distribution and responding to routine inquiries.

JOB REQUIREMENTS:
Associates degree or coursework in business administration legal studies public administration or a related field preferred; OR 2 years of equivalent experience OR a combination of education and relevant experience.
Prior experience in an office administrative or clerical role is preferred but not required.

SKILL REQUIREMENTS:
Basic to intermediate proficiency in Microsoft Word Excel and Outlook.
Familiarity with or the ability and willingness to learn electronic hospital contract management systems and Docusign.
Strong organizational skills with attention to detail and accuracy.
Effective interpersonal verbal and written communication skills.
Basic analytical and problem solving abilities.
Ability to work independently with appropriate supervision and collaboratively as part of a team.
Ability to handle confidential and sensitive information with discretion and professionalism.
