A refinery is seeking an experienced Document Control Administrator to support the HSE Process Safety Management (PSM) team. This role is critical in maintaining compliance with PSM regulations and ensuring accurate efficient document management throughout project lifecycles.
The ideal candidate brings strong attention to detail a growth mindset and a proactive approach with the ability to ask questions take initiative and support continuous improvement.
Key Responsibilities
Support projects through design construction and final handover phases
Monitor contractor document control activities and ensure alignment with project requirements
Track manage and maintain documentation within internal systems
Ensure timely approval organization and handover of project deliverables
Maintain compliance of contractor document management systems (DMS)
Provide secure access to documents and maintain accurate records
Support document tracking reporting and status updates
Train personnel on document control processes and requirements
Manage document quality review cycles and procedural compliance
Basic Qualifications
High School diploma or GED
5 years of experience in records or document management
Proficiency in Microsoft Office (Excel Word Outlook)
Experience with electronic document management systems
Strong communication and organizational skills
Working knowledge of PSM regulations and refinery operations
Preferred Qualifications
Experience in refining or chemical industry (6 years preferred)
Bachelors degree (Engineering or related field preferred)
Experience with SAP and document control systems
Familiarity with PHAs MOCs and PSI processes
WorkSchedule: Monday Friday: Flexible start time between 6:30 AM 8:30 AM (8-hour shift) Occasional overtime as needed (minimal) No PPE required Site Specific HASC training DISA Background and Drug Test Must be cleared to support Refinery Location
