Job Summary
Under the supervision of the Executive Director the Membership Coordinator/Building Supervisor will be responsible for providing quality customer service at the welcome center ensuring accurate billing for membership and programs and overseeing Daxko operations for the Membership staff as well as overseeing front desk and Child Watch schedules and building operations.
Essential Functions:
- Serve as an ambassador and provide members volunteers and visitors the highest level of customer service including face to face and phone and email/online inquiries.
- Ensure the YMCA character development initiatives of caring honesty respect responsibility are practiced in the Membership Department.
- Implements department and program strategies that support recruitment of new participants and retention of existing members.
- Work collaboratively with the Wellness Coordinator to develop new programs to meet the needs of the Leominster Branch membership and the community in order to develop income sources and support innovation in group exercise.
- Manage all inquiries related to membership including rates hours of operation and current program schedules.
- Maintain the highest accuracy with front desk procedures policies and serve as a role model to other staff.
- Oversees desk and Daxko operations. Provide coverage of the welcome center desk a minimum of 30 scheduled hours per week and as needed.
- Manage all facets of membership billing including: payments follow-up on NSF Check and Declined Credit Cards bank drafts/insufficient funds reports daily cash reconciliation and EOS (End Of Shift Reports).
- Oversee the accounts receivable and payable and end of month Petty Cash reconciliation for the Branch in collaboration with the Executive Director.
- Oversee inventory and ordering of general maintenance and office supplies and monitor expenses based on budget.
- Monitor and keep up-to-date on-line program schedules and Y App.
- Work with Executive Director regarding cash variances as it relates to Welcome Center staff; provide guidance to avoid future discrepancies in cash reconciliations.
- Primary responsibility for reconciliation of membership and program registrations.
- Produce and process various reports including but not limited to Access Denied Tracking Visitor Passes Duplicate Members and Non-Renewing Members and other reports as assigned.
- Ensure proper implementation of front desk procedures are in place and revised training and role modeling for all staff.
- Point person for Welcome Center Shift Schedule. Adheres to budget responds to demand and ensures appropriate staffing at all times.
- Co-Chair the branchs Annual Campaign and assist leadership in the successful completion of the campaign and other related special events and activities.
- Participate as requested in Association Service Center and branch committees cabinets task forces.
- Performs other duties as assigned.
Qualifications:
This position requires solid supervisory organizational interpersonal and communication skills.
- Specialized Technical or Practical Know How: Minimum of two-year college degree Bachelors Degree is preferred.
- At least one-year experience in customer service.
- Must have strong organizational computer and communication skills.
- Must be very organized and be able to create systems for smooth branch operations. YMCA experience preferred.
- Human Relations Skills: Strong human relation skills including the ability to establish and maintain a positive work environment with other staff volunteers and the members.
Job Type: Full Time (Non-Exempt)
Schedule: 35hrs/week
