Reports to:Director of Purchasing
Position Summary:
The Special Orders Buyer is responsible for creating confirming updating and adding tracking information for all Special and Drop Ship Orders. The Special Orders Buyer is the primary contact for vendors for anything related to the purchase orders including confirming receipt and shipping dates. This position works cross functionally across the organization to ensure efficient acquisition of all products.
Supervisory Responsibilities:
The position has no supervisory responsibilities.
Key Responsibilities:
- Process the special-order replenishment and drop ship reports in a timely manner to ensure all orders meet vendor specifications and are ordered and processed correctly.
- Communicate and collaborate with internal sales teams regarding any issues or discrepancies with customer orders.
- Follow up on all non-confirmed orders within 48 hours and maintain order tracking.
- Expedite orders as needed with vendors to meet emergency customer orders.
- Follow-up purchase orders and communicate with sales team on updates. When necessary cancel the purchase order and the sales order based on the direction of the sales team.
- Review past due and open purchase order reports to obtain updated ship dates from the vendor update the purchase order and communicate with internal sales team members.
- Organize and prioritize the daily workflow of the supply area including the receiving area outside of supply room for incoming pallets while maintaining inventory levels on office supplies for daily operations.
- Participate in seminars and other training as required.
- Assist in the establishment and maintenance of Standard Operating Procedures.
- May attend industry events (Company Events Trade Shows and Motorsports Events) as a strong brand representative.
- Work in team environment.
- Promote and maintain a clean and safe work environment by complying with procedures policies training and regulations.
- Ensure established policies and procedures are followed.
- Participate in continuous improvement project team activities.
- Other duties as assigned.
Education/Experience/Qualifications:
- High School Diploma or GED required.
- 1-3 years of relevant experience preferred.
- Proficiency in SXe MicroStrategy and other relevant software systems preferred.
Skills & Abilities:
- Excellent organization skills and detail-oriented with exceptional critical thinking multi-tasking and problem-solving abilities.
- Proficient with Microsoft Office Suite and other job-related equipment and software.
- Ability to communicate effectively (clear and concise) through writing speaking active listening and presentation. Excellent verbal and written communication skills.
- Ability to approach conflicts with vendors customers and colleagues in a constructive manner.
- Ability to read analyze and interpret data.
- Strong quantitative and analytical skills.
- Excellent time management.
- Ability to work both independently within a team and cross-functionally with other departments/stakeholders.
- Ability to work with minimum supervision/guidance and must be self-directed.
- Excellent problem-solving skills and sound judgment.
- Ability to develop and foster business relationships.
- Willing to participate in Company designated training.
- Must have knowledge of and comply with the policies and procedures contained in the company handbook.
- Must be able to maintain confidentiality.
- Must be able to practice safe work habits.
Physical Demands:
