Job Summary

Position Summary:  

The Office of Immigrant Affairs seeks a detail-oriented individual with exceptional program management skills to support the offices Welcoming Network. The Philly Welcoming Network is a cross-sector collaboration of public and private partners committed to the successful inclusion of immigrants in our city. By stewarding the Welcome Network Program this position supports and coordinates the efforts of many partners across immigrant communities and immigrant-serving organizations. Additionally this position supports OIAs community outreach and strategic communications initiatives.  

Essential Functions: 

Program and Partnership Management 

  • Coordinate Philly Welcoming Network activities including meetings working groups summits information sessions and collaborative activities. 

  • Steward positive relationships and stakeholder engagement with nonprofit community-based and government partners. 

  • Track deliverables timelines and outcomes across multiple initiatives. 

  • Assistwith planning and execution of events convenings and capacity-building activities. 

  • Serve as co-supervisor for Welcoming Network VISTAFellow and a mentor for interns supporting OIA.  

  • Process and manage vendor paymentsin accordance withorganizational policies and timelines. 

  • Support grant applications and administration by applying knowledge of grants management principles program evaluation and compliance requirements. 

Strategic Communications and Event Planning 

  • Support OIAs strategic communication efforts including drafting and disseminating digital newsletters social media content blog posts and print collateral  

  • Develop creative content and strategies to amplify and share the Welcome Network and OIAs work including content for social and digital platforms reports and presentations tailored to community audiences. 

  • Oversee event planning logistics and execution for Welcome Network meetings and summits as well as support OIAs regular community partnership and outreach events. 

  • Identify and support opportunities for Welcome Network members and OIA leadership to communicate work and priorities to key audiences. 

  • Developing annual activity reports that assess the success of OIA efforts and sharing those reports with community partners.  

Competencies Knowledge Skills and Abilities 

  • Strong project manager with experience leading complex programs with multiple stakeholders. 

  • Strong written and verbal communication skills and the ability to create and present project reports and to communicate effectively with stakeholders and senior leadership. 

  • Extensive experience facilitating community meetings workshops and events to gather input share resources and strengthen community partnerships.  

  • Experience managing digital communications campaigns and community outreach initiatives. 

  • Demonstrated ability to work collaboratively across diverse stakeholders.  

  • Strong analytical skills and knowledge of the principles of project management. 

  • Multilingual or bilingual proficiency; priority languages include Arabic Mandarin French and Spanish both written and verbal proficiency. 

  • Passion for immigrant community wellbeing and for the City of Philadelphias welcoming policies and programs. 


Qualifications :

  • Graduation with a Bachelors degree from an accredited college or university with major course work in a field related to the job 

  • Four (4) years of experience in a field related to the job including two (2) years of experience which were in a community outreach public engagement or program management capacity.  

  • Previous strategic communications experience in drafting and disseminating digital content including newsletters and social media platforms 

  • Previous experience working within immigrant and refugee communities or immigrant-serving organizations.  

  • Previous experience working in multilingual settings and/or diverse cultural backgrounds 

  • Previous administrative or operational experience including project management responsibilities overseeing multiple large-scale cross-functional teams or projects.

Salary Range: $65000-$75000
