We have an opportunity for a personal assistant (PA) to join the team around HM Chief Inspector of Education on a temporary basis while the new office and wider organisation is established following the Royal Ascent of the Education (Scotland) Act 2026.

This is an ideal development opportunity for someone looking to broaden their experience in corporate support.



Responsibilities

Key responsibilities

  • Monitoring and managing the Chief Inspectors mailbox processing incoming and outgoing mail prioritising information and filtering e-mails ensuring that items are appropriately allocated actioned and followed-up.
  • Providing support for the Chief Inspector by liaising with internal and external stakeholders at all levels on their behalf to ensure that enquiries are managed and correctly routed effectively within HMIE.
  • Actively managing the Chief Inspectors calendar making decisions on meeting requests as appropriate and providing logistical support commissioning and organising relevant briefing packs/papers and ensuring daily meeting papers are correct.
  • Proactive and forward planning of the Chief Inspectors time ensuring urgent matters are identified and highlighted as soon as possible.
  • Providing secretariat support at team and stakeholder meetings for the Chief Inspector providing logistical support commissioning and organising relevant briefing packs.
  • Obtain relevant management information and reports as and when necessary dashboard information.
  • Co-ordinating all material and support (including travel) for meetings and visits offsite.
  • Managing electronic filing system in accordance with SG guidance.


Qualifications

Person Specification

  1. Excellent organisational skills using initiative to manage organise and control your workload.

  2. Well-developed verbal and written communication skills with the ability to build good working relationships with both internal and external stakeholders and collaborate effectively.
  3. Demonstrable experience of providing PA / Administration support to senior leaders.Along with diary management experience.
  4. Experience of working in a fast paced environment managing a substantial amount of conflicting priorities.

Working Pattern

This post is a full-time role but we welcome applications from staff with different working patterns proposed working patterns will be assessed against the business requirements for this post.
